Job Title: Front Office/PEIMS Clerk and Registrar
Reports to: Principal
Terms of Employment: 240 days
Hours: Full Time
Exemption Status: Non-Exempt
Location: The Linguistic Academy of El Paso
Primary Purpose:
Assist in efficient operation of school office and assist in clerical services for school
Qualifications:
3-5 years of general clerical or secretarial experience
Education/Certification in Related field preferred
3-5 years of experience as PEIMS Clerk preferred
Bachelor's Degree Preferred.
Special Knowledge/Skills
Maintains and file all reports, records and other documents required for PEIMS submissions and/or audits
Performs data entry as required for PEIMS
Keeps current on policies and procedures outlined in the PEIMS Data Standards and Student Attendance Accounting Handbook
Maintain composure in a stressful situation
Proficient typing, word processing, and file maintenance skills
Effective organizational, communication, and interpersonal skills
Specific knowledge of subjects assigned
Computer and technology skills
Ability to be accurate and efficient in all phases of assigned responsibilities
Ability to work with campus leadership
Ability to work under a minimum amount of supervision
Ability to use personal computer and software to develop spreadsheets, databases, and do word processing
Ability to speak and translate in Spanish and English- preferred
Maintains TEASE applications submitted to TEA
Coordinates room availability for PEIMS Training and Clearing
Collects, assembles and disseminates documentation for PEIMS training
Major Responsibilities and Duties:
Perform data entry, maintains student information on a computer
Respond to inquiries for the public, parents, students, and campus staff
Remain current concerning campus events, courses, community resources, and related information
Assist with clerical tasks
Coordinate fund raisers, pictures, and translations
Maintain a log of visitors in the school
Receive incoming calls, take reliable messages, and route to appropriate staff
Comply with district policies, as well as state and federal laws and regulations
Adhere to the district’s safety policies and procedures
Maintain confidentiality in the conduct of district business
Must be able to perform the essential functions of talking and interacting with students and/or district employees in the specific work site assigned (classroom or office setting)
Demonstrate regular and prompt attendance
Other duties as assigned by supervisor
Works closely with campus staff to research, correct and submit documentation for errors
Works closely with campus staff to research, correct and submit documentation for Duplicate Enrollment
Attends PEIMS Training
Keeps current and abides by district, federal, state and local policies
EQUIPMENT USED:
Copier, personal computer and appropriate software, typewriter, printer, calculator, fax machine and audio-visual equipment
Mental Demands/ Physical Demands/Environmental Factors:
Mental Demands: Reading; ability to perform basic arithmetic; ability to communicate effectively (verbal and written); maintain emotional control under stress.
Physical Demands/Environmental Factors: Prolonged use of computer and work with frequent interruptions. May be required to lift 30 lbs. occasionally.
