Burlington Technical Center (BTC) is seeking a dynamic person with excellent collaborative skills to serve as Registrar and Administrative Assistant.

BTC Overview

BTC is a career and technical education center that serves students in grades 10-12, as well as adult students.

Description

The registrar/administrative assistant is a key role in the daily operations of the center including communication, processing student reporting information, and working with the BTC team on a variety of office and center duties.

Interpersonal skills

High quality service skills and professionalism. Ability to follow through on duties and assignments

Demonstrated proficiency with technology and the ability to quickly learn new systems and functions

Experience in educational software Student Management Systems (SMS / SIS) preferred i.e., PowerSchool, Naviance, SchoolMaster.

Highly organized

Fluency / aptitude with Microsoft Office, Google Drive, Access

Excellent written and oral communication skills

Ability to multi-task in a fast paced environment

High aptitude for problem solving, team, and independent work

Handle confidential information appropriate to education law

Seek ways to streamline / improve workflow, process and job functions

Primary Requirements:

Answer attendance calls.

Track and process daily attendance.

Answer all incoming phone lines, respond to questions as appropriate

Communicate with sending schools

Coordinate with Office Manager for coverage

Processing state reporting data

Fulfill Registrar duties for Burlington Technical Center including but not limited to:

Data Management System

Serve as main school coordinator of the student data management system (PowerSchool). Input student data and maintain accurate records.

Establish and maintain automated records and files; generate and distribute computerized reports related to the master schedule and student information

Scheduling and Grading

Setup the BTC school year, build teacher assignments, student enrollment / rosters including add/drop

Coordinate course registration process

Generate reports as needed, including midterm progress reports and semester report cards, State data reports

Work with instructors to resolve grading issues / problems

Perform performance audits for grades and attendance

Build close relationships with sending school Registrars and / or guidance counselors as needed

Perform grade changes, add new credits/grades, etc as needed

Enrollment

Request and evaluate records and transcripts for new applications

Assist the outreach team as assigned / needed with coordination of new student information

Process new enrollment and student withdrawals, including documentation, school records

Assist with dual enrollment and Fast Forward

Programs and Events

Assist with coordination of annual awards functions and graduation

Order certificates, prepare graduate list of names

Additional Administrative Support

Compose and type a variety of forms, letters, lists, applications and certificates; duplicate and distribute materials as necessary

Perform complex clerical and statistical record keeping duties in the evaluation, preparation, modification and maintenance of scholastic records and online databases

Serve as backup to Office manager for non-supervisory duties

Perform regular administrative assistant functions

Serve as a liaison with students, faculty, staff, parents, colleges, alumni and other internal/external constituency, present information, process special requests, investigate and resolve problems

Perform other related specialized technical duties as assigned

Coordinate duties for multiple members of the Office Team and programs as assigned

Build efficient and effective responsiveness into existing operations, and help define new operational strategies and efficiencies

Lead and manage small projects as requested

Organize and coordinate meetings and events as assigned

Other duties as assigned

Required Qualifications:
