Job Description
Trinity Metro has an immediate opening for an Executive Assistant to provide professional and administrative support to three C-Suites of Trinity Metro and associated departments.
This position's responsibilities include:
Provides comprehensive support services to the COO, CAO, and CFO to ensure a professional, responsive, and effective experience with the agency as a whole.
Provides sophisticated calendar management. Prioritizes inquiries and requests while troubleshooting conflicts with little guidance; makes judgments and recommendations to ensure smooth day-to-day engagements.
Completes a broad variety of administrative tasks, including completing expense reports; composing and preparing correspondence, which is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
Manages phone calls and prioritizes phone messages, emails, and mail. Handles all phone calls and visitors with grace and professionalism.
Approves expense reports and requisitions entered in the ERP system.
Researches, prioritizes, and follows up on incoming issues and concerns addressed to the COO, CAO, and CFO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
Provides a bridge for smooth communication between the COO, CAO, and CFO office and other internal departments, demonstrating leadership to maintain credibility, trust, and support with the executive team and senior management staff.
Works closely and effectively with the COO, CAO, and CFO to keep them well informed of upcoming commitments and responsibilities by following up appropriately. Acts as a "barometer," having a sense of the issues taking place in the environment and keeping them updated.
Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the COO, CAO, and CFO, some of which may have an organizational impact.
Prioritizes conflicting needs; handles matters expeditiously, and proactively follows through on projects to successful completion, often with deadline pressures.
Works closely and effectively with the Chief of Staff to keep him/her well informed of upcoming commitments and responsibilities of the COO, CAO, and CFO as related to the President and CEO.
Coordinates and performs special projects, as required.
Maintains confidential information.
Maintains regular and punctual attendance.
Makes recommendations to management to improve operations, decrease inefficiencies, and streamline work processes; works cooperatively with all customers, internal and external.
Participates in company community activities to promote transit during off-duty hours.
Performs other duties, as assigned.
EDUCATION
Bachelor’s degree with coursework in Business Administration.
EXPERIENCE
Ten or more years of professional experience as a C-Suite Executive Administrative Assistant.
Any combination of experience, training, and/or education that provides the required knowledge, skills, and abilities may substitute for the required education.
