Comdec, Inc. is a dynamic and growing construction company dedicated to providing top-quality service and value to our clients. We are seeking a detail-oriented and reliable Office Manager to join our team and help keep our financial and administrative operations running smoothly.
Job Summary:
The Office Manager will oversee daily administrative and financial operations, including bank reconciliations, accounts payable (AP), accounts receivable (AR), credit card reconciliations, and AIA billing. This role is critical to maintaining accurate financial records and ensuring the smooth operation of office processes.
Key Responsibilities:
Process payroll accurately and timely, and ensure all applicable taxes are paid accordingly.
Perform monthly bank reconciliations to ensure all transactions are accurately recorded and discrepancies are resolved.
Manage Accounts Payable (AP): enter invoices, ensure timely payments, and maintain vendor records.
Manage Accounts Receivable (AR): generate and send invoices, monitor customer payments, and follow up on overdue accounts.
Conduct credit card reconciliations, ensuring all expenses are properly categorized and supported with receipts.
Prepare and submit AIA billing, including continuation sheets, applications for payment, and supporting documentation in accordance with project requirements.
Maintain accurate and up-to-date financial records and assist with year-end closing processes.
Assist with internal and external audits as needed.
Provide general office management support including supplies management, vendor coordination, and supporting internal teams.
Collaborate with accounting and project teams to ensure billing and payment processes are aligned with contracts and project progress.
Qualifications:
3+ years of experience in office management or accounting-related role.
Strong understanding of accounting principles and procedures.
Experience with bank and credit card reconciliations.
Familiarity with AIA billing.
Proficiency in Sage 50 Accounting software.
Excellent organizational skills and attention to detail.
Ability to manage multiple priorities and deadlines.
Strong communication and interpersonal skills.
Preferred:
Experience in the construction or related industry.
Associate's or Bachelor's degree in Accounting, Business Administration, or related field.
