SUMMARY:

This position is responsible for providing mail service for campuses and the District office; picking up and

delivering printing, mail, supplies and materials from post office, central office and all district units; receiving mail, printing

requests supplies and materials; maintaining accurate records; preparing mail for post; and providing information and advice

on postal needs and services.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Job Tasks Descriptions

Sorts and distributes internal/external mail to appropriate parties. Processes mail (e.g. bulk

mail, special deliveries, special mailings, graphics, FedEx, DHL, ERC material, science

center material, etc.) to ensuring proper postage is affixed, expenses are allocated to

appropriate departments; ensures postal regulations are followed.

Maintains mail room equipment, tools, and work areas (e.g. shredder, mail machine, fax

machine, folder, inserter, etc.) to ensure the availability of equipment required to complete

work in a safe and orderly working environment. Schedules preventive maintenance on

mailroom equipment to ensure availability of equipment.

Maintains inventory of mail room supplies and equipment (e.g. registered mail forms, etc.)

ensuring the availability of items as needed

Prepares packages, documents, etc. for the purpose of ensuring items are packaged

properly and correct postage and/or routing information is affixed

Shreds discarded district documents (e.g. IEP documents, student records, etc.) to ensure

confidentiality is maintained.

Transports a variety of materials to and from post office and other district units (e.g. mail,

supplies, printing, etc.) to process internal and/or external mail and deliveries. Lifts up to 70 lbs. without restriction.

Maintains a variety of manual and electronic documents, files and records (e.g.

expenditures, cross charges between departments, log of certified, registered, and insured

mail, meter record book, graphics, etc.) to document activities, evaluating processes and

using as a reference and audit trail.

Assists student helpers for the purpose of ensuring they are learning the job, staying on

task, and working in a safe manner

Delivers board packets to Board of Education members for the purpose of ensuring they

receive all needed items for the upcoming board meetings

Operates power equipment (e.g. forklift, hydraulic lift table, vans, trucks, shredder, etc.)

for the purpose of helping to load, move and unload mail and other freight

Performs other duties as assigned

EDUCATION AND RELATED WORK EXPERIENCE:

High school diploma, or equivalent, required

No experience required

LICENSES, REGISTRATIONS or CERTIFICATIONS:

Defensive Driving Certification, district provided, required within 1 month of entering position

Valid Driver’s License, required for hire

Criminal background check required for hire.

TECHNICAL SKILLS, KNOWLEDGE, & ABILITIES:

Oral and written communication skills

Ability to organize and prioritize tasks

Ability to follow all safety guidelines

Able to perform all duties and adjust based on job conditions

Ability to upgrade skills, as needed

Basic math skills

Ability to travel between work sites

Ability and willingness to adhere to attendance expectations and to follow district procedures for absence reporting

Ability to promote and follow Board of Trustees policies, District policies, and building and department procedures

Ability to communicate, interact, and work effectively and cooperatively with all people including those from diverse ethnic and educational backgrounds

Ability to recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate/required safety equipment, and report unsafe conditions to the appropriate administrator

MATERIALS AND EQUIPMENT OPERATING KNOWLEDGE:

Operating knowledge of forklifts, and pallet jacks preferred, but not required. Functional knowledge required within 1 month of entering position

Operating knowledge of and experience with office productivity programs, such as Microsoft Office Suite, E-mail, etc.

Operating knowledge of district information technology systems and department-specific software and equipment required within 3 months after entering position

Reports to: Mail Services Manager

Direct reports: This position has no direct reports

BUDGET AND/OR RESOURCE RESPONSIBILITY:

This position has no budget responsibility
