We are seeking a detail-oriented and proactive Operations Coordinator to support our operational activities, with a key focus on maximizing the utility of Yardi, our property management software.
Position Summary
The Operations Coordinator plays a critical role in ensuring the smooth functioning of day-to-day operations across multiple properties and teams. This individual will serve as a liaison between departments, help maintain system integrity, support internal reporting, and streamline processes—particularly within the Yardi environment.
Key Responsibilities
Yardi System Management:
Maintain, update, and troubleshoot data within the Yardi platform.
Assist with onboarding new properties and users into the Yardi system.
Generate and customize reports in Yardi for leasing and operational performance.
Coordinate Yardi training and support for staff.
Ensure data integrity and compliance with company standards.
Property Compliance
Maintain, update, and troubleshoot data within the compliance application
Update rent and income limits
Update all spreadsheets and communicate with key compliance personal
Ensure data integrity and compliance with company standards.
Reporting & Analysis:
Compile, format, and distribute weekly/monthly operational performance reports.
Assist in preparing presentations and data summaries for internal meetings and external stakeholders.
Track key performance indicators (KPIs) and provide insights into process improvements.
Communication & Coordination:
Act as a point of contact between property managers, corporate departments, and external vendors.
Schedule and coordinate litigation, claims and special projects.
Support cross-functional collaboration and ensure timely follow-up on assigned tasks.
· Additional Responsibilities – Executive Support
Provide direct administrative support to the President.
Manage and maintain the President’s calendar, including scheduling meetings and appointments.
Prepare documents, reports, and briefing materials for executive meetings.
Facilitate communication and follow-ups between the President and internal/external stakeholders.
Handle sensitive and confidential information with discretion and professionalism.
Requirements
Qualifications
Proficiency with Yardi Voyager is primary.
1–3 years of experience in operations, property management, or administrative coordination.
Strong MS Office skills (Excel, Word, Outlook, PowerPoint).
Exceptional organizational and time-management skills.
Strong interpersonal and communication abilities.
Detail-oriented with a proactive and problem-solving mindset.
Preferred Qualifications
Experience in real estate, multifamily housing, or property development.
Familiarity with project management tools and workflow tracking software.
Understanding of compliance and regulatory aspects of property management.
