This position can be fully remote within our operational footprint (residing in one of the following states) - Indiana, Ohio, Michigan, Illinois, Wisconson, Kansas, Kentucky, Louisiana, Florida or Texas.
The OnBase System Engineer is responsible for the ongoing administration, optimization, and support of the OnBase enterprise content management system. As part of the Run Team, this role focuses on system stability, troubleshooting, performance optimization, and governance while collaborating with the Change Team on the design and implementation of new workflows and enhancements. The engineer will also serve as a mentor and escalation point, ensuring that OnBase operates efficiently, securely, and in alignment with business and regulatory requirements.
Essential Duties and Responsibilities:
System Administration & Support
Act as the highest escalation point on our Run Services team for complex OnBase issues, diagnosing and resolving inefficiencies to minimize downtime and ensure optimal performance.
Maintain system availability, security, and performance, proactively monitoring and resolving issues after they impact operations.
Oversee OnBase server infrastructure, coordinating server upgrades, patches, and maintenance, ensuring minimal disruption and alignment with IT governance policies.
Develop and implement automated solutions for monitoring, error handling, and system health to reduce manual interventions.
Maintain and standardize OnBase configurations, user access controls, and security settings to align with industry best practices.
Provide escalated product support to users and business teams, ensuring prompt issue resolution and knowledge sharing.
Maintain comprehensive system documentation, SOPs, and knowledge bases to support long-term system sustainability and onboarding of new administrators.
Strategic & Technical Leadership
Mentor and train other application analysts and business users on best practices for system maintenance, troubleshooting, and operational efficiency.
Collaborate with the Change Team to provide technical guidance on new workflows, configurations, and enhancements to ensure smooth deployment and operational readiness.
Work closely with IT leadership and stakeholders to identify operational improvements, streamline issue resolution, and enhance system usability.
Serve as the run team's primary liaison with Hyland, external consultants, and internal IT teams for issue resolution and best practice adoption.
Compliance & Security
Ensure the OnBase system meets banking industry security, compliance, and regulatory standards, including data retention policies and access controls.
Work with Compliance, Risk, and Security teams to maintain regulatory adherence, in areas like document retention policies.
Support audit requests and participate in risk assessments to ensure system configurations comply with IT security policies.
To be successful in this position, we require the following:
High school diploma or equivalent (GED).
Five (5) years of hands-on experience managing, configuring, and optimizing OnBase (or Nautilus/private-labeled equivalent) in an enterprise environment.
OnBase Certified System Administrator or Hyland Certified OnBase Administrator certification.
The following would be a plus:
OnBase Workflow Designer Certification.
Experience in re-architecting and optimizing enterprise content management systems, with a focus on scalability, security, and performance
Familiarity with banking industry processes and compliance requirements and document retention policies
Experience integrating OnBase with core banking systems and third-party applications
Strong collaboration skills, with the ability to work effectively with IT leadership, the Change Team, and business stakeholders
Strong ability to mentor and support junior administrators and business users. Career Track
