Administrative Coordinator * Coordinate and execute the day-to-day operations of the HR department, including scheduling meetings, maintaining calendars, and preparing agendas.

* Manage departmental communications, including emails, specifically, the HR inbox, memos, and reports.

* Organize and maintain personnel files, ensuring compliance with record-keeping requirements while safeguarding sensitive and confidential information.

* Serve as the first point of contact for visitors and incoming calls, providing a professional and welcoming experience.

* Handle incoming and outgoing mail, courier services, and deliveries.

* Process bi-weekly payroll.

* Assist in the preparation, tracking, and management of the department's budget.

* Maintain accurate financial records, including expense tracking, reconciliation and reporting.

* Support budget forecasting and help identify areas for cost optimization.

* Coordinate with Purchasing, the Budget Office, and the Auditor's Office to process invoices, purchase orders, and other financial documents.

* Act as a primary assistant to the HR department director, handling tasks such as calendar management, correspondence, and document preparation.

* Assist with special projects, research, and presentations as assigned by the director.

* Ensure the director is well-prepared for meetings, events, and deadlines by providing necessary materials and support.

Maintain the highest standards of confidentiality in all interactions.

* Administer and manage the DOT compliance program, including maintaining accurate records and scheduling required physicals and certifications.

* Oversee pre-employment, random, post-accident, and return-to-duty drug testing processes in compliance with federal, state, and company policies, while ensuring strict confidentiality of results.

* Act as a liaison with drug testing vendors and ensure timely and secure communication of results.

* Stay updated on DOT and drug testing regulatory changes and ensure departmental adherence.

* Assist in posting job advertisements, scheduling interviews, and communicating with candidates.

* Manage the onboarding process for new employees within the department, including preparing necessary documents, coordinating orientation sessions, and ensuring a smooth transition for new hires.

* Facilitate equipment and workspace setup for new employees, ensuring readiness on their first day.

* Maintain confidentiality of sensitive candidate and employee information throughout the process.

* Support the coordination of employee engagement activities, recognition programs, and training sessions.

* Monitor and track compliance with required training, certifications, and policies.

* Generate and maintain reports related to HR metrics, such as turnover, leave balances, FMLA usage, and DOT compliance, ensuring all data is handled securely and confidentially.

* Assist employees with payroll and benefits questions, liaising with appropriate vendors as necessary.

* Support benefits enrollment periods and ensure timely updates to employee records while maintaining confidentiality of personal information.

Minimum Requirements * Bachelor's degree in human resources, Business Administration, or a related field preferred; equivalent work experience accepted.

* 2-3 years of experience in an administrative role, preferably in Human Resources.

* Experience managing DOT programs and drug testing processes is highly desirable.

* Previous experience providing executive or administrative support to leadership is a plus.

* Experience managing onboarding processes is preferred.

* Strong organizational and time-management skills.

* Excellent verbal and written communication abilities.

* High attention to detail and unwavering commitment to maintaining confidentiality.

* Workday experience preferred * Proficiency in HRIS systems and Microsoft Office Suite (Word, Excel, PowerPoint). * Knowledge of DOT regulations and drug testing compliance requirements.

* Ability to work independently and as part of a team in a fast-paced environment.
