We are seeking a highly organized, proactive, and efficient Office Coordinator to support senior leadership while ensuring smooth office operations. This dual role requires a strong ability to manage administrative tasks for the executive team, maintain office infrastructure, and coordinate day-to-day operations. The ideal candidate will be detail-oriented, a strong communicator, and possess the ability to manage multiple priorities in a fast-paced environment.

In this role you will:

Provide comprehensive administrative support to senior executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.

Prepare and proofread reports, presentations, and correspondence as required.

Assist in the preparation of documents for presentations, business reviews, and reports.

Manage and process expense reports, ensuring all receipts are collected, accurately documented, and submitted in a timely manner in compliance with company policies.

Act as the point of contact between the executives and both internal and external stakeholders.

Organize and prioritize communication, including emails, phone calls, and meeting requests, ensuring that urgent matters are addressed promptly.

Handle confidential information with discretion and professionalism.

Assist with project management and tracking key initiatives, ensuring deadlines are met.

Coordinate executive board meetings, prepare agendas, and take minutes.

Oversee daily office operations, ensuring a well-organized, efficient, and productive work environment.

Manage office supplies, equipment, and vendor relationships, ensuring cost-effective procurement and timely replenishment.

Coordinate office maintenance, repairs, and facilities management.

Develop and implement office procedures to improve operational efficiency.

Act as the primary point of contact for building management, external service providers, and contractors.

Assist with the onboarding process for new hires, including preparing office spaces, equipment, and setting up introductions.

Coordinate team events, meetings, and company-wide activities as needed

Qualifications:

Bachelor's degree or equivalent work experience preferred.

3+ years of experience in an administrative or office management role

Exceptional organizational and multitasking abilities with a keen attention to detail.

Strong written and verbal communication and problem-solving skills with the ability to interact effectively with executives, colleagues, and external partners.

Proven ability to handle sensitive and confidential information.

Demonstrated ability to work independently and manage priorities effectively in a fast paced environment.

Positive attitude, professional demeanor, and ability to work in a collaborative, team-oriented environment.

Strong proficiency in office software (e.g., Microsoft Office Suite, Google Workspace, etc.) and familiarity with office management tools.
