Founded in 2007, Quantum Flo is housed in a brand new, state-of-the-art, 30,000 square foot manufacturing facility in Sanford, Florida, just north of the Greater Orlando area. Position Summary:
The Operations Coordinator is responsible for providing quality service to our customers at all times by consistently communicating effectively, both orally and in writing, in a friendly, fast, accurate, and professional manner. The coordinator also processes sales orders, manufacturing orders, receiving documents, invoicing, and shipping documents in a timely and precise manner.
Primary Job Duties:
Responsible for full cycle AP process, including processing production and non-production invoices for payment, and communicating with suppliers.
Perform a three-way match for vendor and supplier invoices.
Review invoices and documentation for accuracy and completion while adhering to company policies and procedures.
Complete daily shipping transactions to generate customer invoices.
Maintain data entry requirements by following data program techniques and procedures, utilizing Fishbowl Inventory and QuickBooks.
Create financial documents such as bills, invoices, payables, receivables & purchase orders.
Responsible for the timely and accurate data entry/processing of all sales orders, manufacturing orders, purchase orders, receiving, and invoices daily.
Timely and accurately prepare daily shipping transactions/documents to generate customer invoices and process through the online freight company.
Responsible for performing various administrative duties such as engraving name plates, ordering general office supplies, scanning, and breakroom stocking.
Transferring pictures from the production floor to job folders.
Responsible for consistently providing fast, accurate, professional, and friendly service to our customers.
Assess the customer's needs, answer questions and concerns, obtain all information necessary to resolve the transaction, and explain policies and procedures.

Requirements
Education and Experience:
High school diploma or equivalent, and some higher education preferred
Two (2) years of previous AR/AP experience with QuickBooks or similar software
Two (2) years of previous customer service/data entry experience
Knowledge of bookkeeping principles
Experience with problem solving, analytical, and organizational skills
Proven ability to succeed in a multi-tasking environment
Excellent verbal and written communication skills
Team player, adaptable, flexible
Punctual, regular, and consistent attendance
