Position Description Summary

Henry Ford College presents an opportunity for a Senior Mail Clerk.

The Senior Mail Clerk will assist the Purchasing Director in providing comprehensive and efficient mail and supply services to support the mission of the college.

Duties include process, sort, and distribute interdepartmental and U.S. mail; maintain and distribute stocked supply items; monitor and maintain postage accounts; advise departments on postal regulations and mailing requirements; and work in a professional manner with employees at all levels in the college and with representatives from outside organizations.

Core Competencies and Qualifications

Education: High School Diploma/GED

Demonstrate basic clerical and mathematical aptitude.

Must possess a basic understanding of Microsoft Office Suite (Word, Excel, Outlook).

Must be detail oriented and thorough in completing work tasks.

Must possess the physical ability to carry out assigned responsibilities (push/pull material handling equipment, ascend/descend ramps, and stairs, etc.)

Must have strong English language skills to communicate effectively (verbal and written) with employees and with external parties, such as delivery and freight company employees.

Must have strong organizational skills and ability to work without constant supervision.

Must have good judgement, maturity, dependability, honesty, high ethical standards, and a professional attitude.

Prefer a minimum of one year of experience in the mail service operations in a college or similar setting. In addition, we seek someone who values and demonstrates:

Teamwork - Encourages and facilitates cooperation, pride, trust, and group identity; fosters commitment and team spirit; works with others to achieve goals. Essential Duties and Responsibilities including but not limited to

Sort incoming interdepartmental mail and U.S. mail into individual department/office boxes in the Mailroom.

Distribute mail from the Mailroom to offices and departments throughout the mail campus.

At assigned locations, sort the department's mail into individual faculty and staff mailboxes.

Pick up outgoing interdepartmental and U.S. mail from various campus locations and return it to the Mailroom for processing.

Sort outgoing mail by size, weight, and postage classification.

Meter outgoing mail at appropriate postage rates.

Operate and maintain mailing machine and postage meter.

Deliver priority letters or communications to individual offices.

Prepare standard (bulk) mailings and deliver to U.S. Postal Service as needed.

Order and maintain inventory of Mailroom supply items (office supplies and copier paper).

Receive, store, and secure deliveries of supply items.

Process and deliver supply requests from departments.

Maintain accurate and updated employee-department lists and mailbox labeling.

Assist the Logistics Associate with distribution of printed materials and the receiving of goods as needed.

Acquire and maintain current knowledge of U.S. Postal Service rules and regulations.

Acquire and maintain current knowledge of the purchasing software system.

Maintain a positive college image and good supplier relations through daily contacts.

Initiate and process electronic postage refills and rate updates.

Monitor and maintain U.S. Postal Service mail accounts (Permit, Postage Due, Business Reply, etc.). Recommend and request additional postage when needed.

Monitor and maintain third-party postage deposit accounts (Pre-Sort, Postage Meter). Recommend and request additional postage when needed.

Maintain regular communications with contacts at U.S. Postal Service and third-party vendors (Pre-sort, Postage Meter) to respond to and resolve issues related to postage rates, procedures, equipment repairs, and other operational concerns.

Advise college departments about postal regulations, mailing processes and mail piece design to reduce postage costs and maintain compliance with U.S. Postal Service regulations.

Perform other duties as assigned within the scope of qualifications and/or training. Additional Information
