Description

The primary role of the Program Coordinator/Deputy Treasurer is to provide advanced administrative support to the initiatives of the Treasurer’s Office of Financial Empowerment (OFE), as well as, the City Treasurer. This individual will be responsible for the daily opening and closing of the office, assist in preparing, revising, and developing documents, and acting as a liaison to other departments/partners throughout the city. Work may include screening calls, responding to questions, or referring callers; as well as handling confidential information. In addition, they will coordinate year-round outreach events, appearances or meetings for the City Treasurer, as well as, oversight of the Annual Financial Wellness event. They will maintain updates on various mediums, prepare documentation to support outreach efforts, and act as a liaison to other departments/partners throughout the city.

This individual will also serve alongside the City Treasurer as a back-up for all fiscal duties as mandated by the State, and other duties related to the constitutional office including check payments to jurors and witnesses, bank deposits, procurement requests, assisting with the annual budget process, serving as a notary. and COIN submissions as mandated by the State Compensation Board. They will be required to complete a minimum of one-course annually to understand the roles and duties of the Treasurer’s Office as outlined by the Treasurer’s Association of Virginia. The Program Coordinator/Deputy Treasurer reports to the elected Treasurer of the City of Richmond.

Note:

- This is a Part-Time position and will work up to 30 hours per week.

- Salary $31,846

Duties include but are not limited to

Maintain daily operations of Treasurer’s Office, which includes answering the phone and directing customers

Provide primary support for the Financial Empowerment Initiatives through the Treasurer’s Office

Manage documentation, logistics, and communications between parties on various projects.

Serve as point of contact for partner agencies and works directly with them to coordinate seminars, workshops, annual events, etc.

Writes, produces, proof reads and edits reports, spreadsheets, presentations, and other various reports some of which are confidential or sensitive in nature

Serves as back-up to City Treasurer and will perform such tasks as general ledger reconciliations, first-of-month deposit entries, as well as, as COIN entries as required by the State Compensation Board

Maintains office records including expenditures, and juror and witness reimbursements

Submit Payment Voucher requests in the OnBase/CORERP systems, and submit annual budget request

Works on special assignments and plan special meetings or functions as needed

Performs other incidental duties as assigned

Proficient in Excel and familiar with other financial management tools

MINIMUM TRAINING & EXPERIENCE

Associate degree or higher

Two to three years or more of administrative experience

One to two years or more of accounting/financial experience

Project management experience is preferred

An equivalent combination of training and experience (as approved by the department) may be used to meet the minimum qualifications of the classification.
