Job Description
We are a negotiation and leadership skills consulting firm made up of ten consultants in a virtual network. We need an executive assistant to assist with a number of critical functions.
Key Responsibilities
Invoicing & Expenses: Manage client invoicing, expense tracking, and reconciliations.
Scheduling: Coordinate training engagements and maintain an organized calendar.
Payroll Support: Help process monthly payroll and assist with standard state filings.
Client Logistics: Work with clients to arrange logistics for training sessions.
Travel Planning: Handle booking flights, accommodations, and itineraries.
Vendor Management: Oversee relationships with current vendors and research potential new vendors to meet operational needs.
Personal Assistance: Occasionally assist with personal errands for the CEO.
Qualifications
Ideally some years of experience in an Executive Assistant, Personal Assistant, or similar role.
Strong organizational skills with attention to detail.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite, Google Workspace, and Zoom.
Self-starter with the ability to work independently in a remote environment.
Reliable, professional, and discreet when handling sensitive information.
Compensation and Hours
Hourly Rate: $30–$45/hour, depending on experience and qualifications.
Flexible Schedule: 15–25 hours per week, with the opportunity to shape your working hours.
Work Environment: Primarily remote, with 1–3 days per week requested in the office for occasional in-person tasks in Cambridge, MA.
