JOB TITLE: Administrative Assistant

REPORTS TO: Midland Development Corporation Executive Director

About the Midland Development Corporation:

The Midland Development Corporation (MDC), created in January 2002, offers incentives to qualified new and existing employers that create diversified primary jobs for the community. Midland voters made these incentives possible when they approved a quarter-cent increase in the local sales tax rate, with additional revenues earmarked to promote economic development and diversification. A seven-member board appointed by the Midland City Council governs the MDC.

Position Summary:

The Administrative Assistant plays a key role in supporting the day-to-day operations of the MDC. This position provides administrative, logistical, and project coordination support to the MDC team.

Key Responsibilities:

Serve as the primary point of contact for general office operations, vendors, service providers, and administrative inquiries.

Answer incoming calls to the main phone line and respond to voicemails.

Manage scheduling, calendar coordination, and meeting preparation for the MDC Executive Director.

Prepare correspondence, reports, presentations, and documentation as requested.

Maintain organized filing systems, both physical and digital.

Oversee office supply inventory and maintain stock of office supplies.

Perform oversight tasks associated with maintenance of MDC’s sites and facilities as needed.

Coordinate logistics, agendas, and materials for meetings, workshops, board meetings, and public events.

Make all travel, dining, and logistical arrangements for MDC guests and familiarization trips.

Assist with invoice processing, expense reports, and basic bookkeeping tasks.

Prepare monthly credit card reports for expenditures.

Maintain digital reports on the status of MDC’s agreements and request certifications from MDC’s contract partners to ensure contract compliance.

Collect data on Midland’s housing, medical, and food prices and submit quarterly to the Cost of Living Index.

Perform other job responsibilities as assigned.

Competencies:

Exceptional oral and written communication skills

Demonstrated emotional intelligence and interpersonal ability in a professional setting

Proficiency in Microsoft Office Suite and Adobe Acrobat

Education:

Associate or bachelor’s degree in a related field preferred.

Licenses:

Current driver’s license
