Salary: $60k-$70k

The Project Accountant supports the team through the coordination and management of finance and accounting related tasks. Under the direction of the Regional (Branch) Controller, this role is accountable for tracking all of the financial components of the project such as budgets, costs, and billings warranting that all responsibilities and processes in support of the assigned project are timely, accurately and efficiently completed.

Key Responsibilities:

Communication with Project Managers: Effectively communicate with Project Managers regarding contracts, Purchase Orders (PO), invoices, Change Orders (CO), reports, and other billing-related items to ensure clarity and accuracy.

Billing Preparation: Prepare monthly AIA (American Institute of Architects), Fixed Price (FP), Time + Material (TM), and Work Order (WO) billings for all assigned projects, ensuring timely and accurate submissions.

External Portal Submissions: Submit monthly/weekly billings on external portals such as Textura, Ariba, Coupa, and other relevant software platforms.

Timesheet Verification: Verify that system data matches external timesheets and request necessary reclassifications of employee billable hours, materials, and/or expenses to ensure accuracy.

Unbilled Issues: Examine unbilled issues to enhance billing opportunities for the current billing period, addressing any discrepancies or delays.

Change Orders: Assist with executing Change Orders in Spectrum, ensuring that the value and scope are correct and reflect the project's requirements.

Lien Waivers: Obtain and process lien waivers as requested by clients, ensuring compliance with contractual obligations.

Invoicing and Billing Verification: Work with Project Managers to review schedules of values, Change Orders, and monthly/weekly Time + Material and progress billings, verifying that all invoicing requirements are met.

Accounts Receivable: Maintain Accounts Receivable (AR) records and notes related to past-due invoices, following up on collections as needed.

Job Data Maintenance: Maintain and update job information in Spectrum or shared folders, ensuring that all project details are accurate and complete.

Financial Support: Collaborate with the Regional Controller to support financial tasks and maintain accurate and detailed reporting on assigned projects.

Documentation: Ensure proper documentation for contracts, Purchase Orders, Change Orders, adjustments, and other pertinent billing information is maintained in project files.

Relationship Management: Develop and maintain positive professional relationships both internally and externally to facilitate smooth project accounting operations.

Billing Optimization: Evaluate and pursue opportunities for maximizing customer billing; communicate observations and actions taken to the Regional Controller to enhance billing effectiveness.

Qualifications:

Experience: Proven experience as a Project Accountant or in a similar role, with a strong background in project accounting, billing, and financial reporting.

Skills: Excellent organizational and communication skills, with the ability to manage multiple tasks and interact effectively with various stakeholders. Strong analytical skills and attention to detail.

Technical Knowledge: Proficiency with accounting software (e.g., Spectrum), external billing portals (e.g., Textura, Ariba, Coupa), and Microsoft Office Suite (Excel, Word). Understanding of contract and project management principles.

Education: Bachelors degree in Accounting, Finance, Business Administration, or a related field.

Attributes: Proactive and results-oriented, with a commitment to accuracy and efficiency in financial operations. Ability to work independently and as part of a team, with a focus on continuous improvement.
