Assist in planning out schedule and making sure that those obligations are met.
Provide support in preparation of various deliverables.
Perform other duties as specified by the Chief of Student Services.
Qualifications: Education/Certification: * High school diploma or GED Special Knowledge/Skills: * Proficient skills in keyboarding, word processing, and file maintenance * Effective communication skills, both verbally and writing * Ability to connect with others using interpersonal skills * Basic math skills * Ability to use personal computer and software to develop spreadsheets and databases and do word processing Experience: * Three years' secretarial experience, preferably in a public education environment Major Responsibilities and Duties: Administrative Support: Records, Reports, and Correspondence: * Prepare correspondence, forms, reports, etc., for the Chief of Student Services.
* Participate in meetings discussing various programs and deliverables for the department, take notes and provide meeting minutes as requested.
* Assist in compiling pertinent data as needed when preparing various federal, state, and local reports (Student Truancy, Attendance and Fine Arts, and Executive Level Employee Grievances). * Maintain physical and computerized departmental files (Student Truancy, Attendance and Fine Arts, and Executive Level Employee Grievances). * Monitor and process personnel time records including leave requests and reports; compile information and submit to appropriate staff.
Accounting: * Assist with the preparation of purchase orders, payment authorizations, and the departmental budget along with the Fine Arts Program budget.
This includes instruction accounts as well as extracurricular accounts.
* Assist with preparation of Independent Contractor Agreements for Fine Art staff members.
Other: * Answer incoming calls and handle questions from public, outside agencies, staff and take reliable messages.
* Greet visitors and respond to routine inquiries from staff and public; refer appropriate inquiries or problems to Chief of Student Services.
* Consult with parents when they have questions regarding their child's attendance or truancy charges.
* Consult with attendance and truancy staff regarding attendance and truancy questions.

* Communicate Fine Arts achievements and provide pictures of Fine Arts events to CISD Executive Director of Communications & Marketing.
* Maintain a schedule of appointments and meetings for the Chief of Student Services.
* Make travel arrangements for department staff.
* Receive, sort, and distribute mail and other documents.
* Maintain confidentiality of information.
* Provide assistance to the Chief of Student Services as requested.
* Perform any and all duties as assigned.
* Successfully advances district initiatives.
Special Responsibilities: * Be a Level II grievances first contact.
Take notes and prepare a grievance report from the reporting party.
Organize the complaints and prepare the report for Chief of Student Services for a review and further investigation.
Support Chief of Student Services through the grievance process.
* Assist in developmental and creation of materials used for O.C.R.
complaint process, reply to O.C.R.
Data request.
Consult with District attorney on Grievances and O.C.R.
complaints.
* Provide support for the development and creation of training materials for Administrators, paraprofessionals and Fine Arts staff on Fine Arts, Attendance and UIL Elementary Academics.
Schedule and keep attendance of the trainings.
* Provide materials for Board meetings.
Provide support for the development and creation of the materials used for the Board meeting presentation by the Chief of Student Services.
* Coordinate Attendance/Truancy Staff Development.
* Coordinate Fine Arts Staff Development.
* Develop student truancy packets to send to Precinct 6 when filing District truancy charges on a student.
* Consult with court clerk weekly on upcoming student truancy cases and track court dispositions.
* Take photos at various Fine Art Events/Contest and post on the Fine Arts department page.
* Develop and maintain Fine Art Calendar of Events.
* Assist in Coordination of District 2nd Grade Reading Bee.
* Assist in Coordination of New Teacher Orientation for Fine Art Staff.
* Assist with the Business office in process with the Fine Arts Supply and Equipment Vendor Bid.
* Process C.I.S.
(Communities in School) staff members and transition into District through the technology department and District campuses.
* Maintain Notary certification.

Salary: Starting Salary Range: $43,681 -$53,246 Work Calendar: 226 Days Salary determination will be based on verified relevant work experience.
