We seek a high-performing Director of Operations & Projects to lead the execution of complex renovation and new construction projects for healthcare and senior living facilities while optimizing operational workflows to support organizational growth. Based in Bergen County, NJ, this pivotal leadership role reports directly to the CEO and combines strategic oversight of project delivery with the development of scalable operational systems. The ideal candidate is a dynamic leader with a proven track record in construction project management, operational excellence, and client relationship management, particularly in healthcare environments. This role requires a blend of hands-on project leadership, strategic process development, and executive support, with occasional travel to project sites and industry events nationwide.
Key Responsibilities
Project Management
Oversee all phases of multiple healthcare and senior living renovation and new construction projects, from conceptual design through project close-out, ensuring alignment with client goals, budgets, and timelines.
Develop and manage detailed project schedules, budgets, procurement plans, and contractor coordination to drive on-time and on-budget delivery.
Act as the primary point of contact for clients, architects, engineers, subcontractors, and other stakeholders, fostering strong relationships and clear communication.
Conduct regular site inspections to monitor construction progress, enforce quality standards, ensure compliance with safety regulations (e.g., OSHA, Joint Commission), and address any issues promptly.
Maintain comprehensive project documentation, including contracts, change orders, Requests for Information (RFIs), meeting notes, and close-out reports, ensuring accuracy and accessibility for audits and client reviews. Strategic Operations
Design, implement, and optimize operational systems, processes, and procedures to enhance efficiency, scalability, and accountability across the organization.
Lead cross-departmental coordination among design, engineering, procurement, and finance teams to ensure seamless project execution and resource alignment.
Implement and manage industry-leading project management software tools (e.g., Procore, Buildertrend, Smartsheet, MS Project) to streamline workflows and improve data-driven decision-making.
Develop and nurture strategic relationships with vendors, subcontractors, and suppliers to secure competitive pricing, reliable service, and best-in-class project outcomes.
Monitor key performance indicators (KPIs) and operational metrics to identify areas for improvement and drive continuous process optimization. Executive Support & Special Projects
Manage the CEO's calendar, prioritize and schedule meetings, coordinate travel logistics, and assist with external communications to ensure efficient use of executive time.
Prepare high-quality, executive-level summaries, reports, and presentations for internal leadership, client meetings, and strategic initiatives.
Drive follow-up on leadership directives, ensuring timely execution of strategic objectives and cross-functional initiatives.
Support business development efforts by contributing to proposal development, client onboarding processes, and special projects that enhance market position.
Handle confidential documents, strategic communications, and sensitive client information with the utmost discretion and professionalism. Qualifications
Experience: Minimum of 7+ years of combined experience in interior design, construction project management, and/or construction operations management, with a strong preference for candidates with direct experience in healthcare or senior living construction projects.
Technical Skills: High proficiency in project management and operations software, including Procore, Buildertrend, MS Project, Smartsheet, or equivalent platforms. Familiarity with AutoCAD, Revit, or other design software is a plus.
Leadership: Proven operational leadership skills with a focus on driving efficiency, scalability, and accountability in fast-paced, project-driven environments.
Industry Knowledge: Deep understanding of construction processes, renovation challenges, and regulatory requirements in healthcare settings (e.g., HIPAA, infection control, Joint Commission standards).
Communication: Exceptional organizational, written, and verbal communication skills, with the ability to present complex information clearly to diverse stakeholders.
Travel: Willingness and ability to travel to project sites, client meetings, and industry tradeshows across the company's national footprint (approximately 20-30% travel).
Education: Bachelor's degree in construction management, architecture, engineering, business administration, or a related field. Advanced certifications (e.g., PMP, LEED AP, CCM) are highly desirable.

Base Salary: $160,000-$180,000 annually, commensurate with experience and qualifications.
