Job Summary:
We are looking for a detail-oriented and proactive HR & Administrative Operations Associate to support our U.S. operations. This role will be responsible for maintaining accurate employee records, supporting benefits administration, handling compliance-related paperwork, and coordinating administrative logistics for internal events and teams. The ideal candidate will be organized, resourceful, and comfortable handling a wide range of back-office HR and operational tasks.
Key Responsibilities:
HR Operations & Employee Lifecycle Support (40%)
Maintain employee records, including onboarding, offboarding, leave tracking, and performance documentation.
Ensure HR documentation complies with federal and state requirements.
Assist in employee file audits and document retention processes.
Benefits Administration & Compliance (25%)
Coordinate and manage backend workflows related to health, dental, vision, life insurance, and HRA plans.
Liaise with benefits providers and ensure accurate reporting.
Administrative Compliance & Vendor Management (20%)
Complete vendor and supplier onboarding forms for U.S. entities.
Support new hire state reporting and manage employment-related registrations with Secretaries of State.
Communicate with registered agents and ensure compliance filings are up to date.
Work closely with Legal Team on Infosec and secretarial compliance
Logistics & Event Support (15%)
Plan and coordinate internal events for U.S.-based sales and operations teams.
Manage logistics related to travel, swag shipments, branded materials, and recurring admin requests.
Serve as a reliable point of contact for day-to-day administrative support.
Qualifications:
Experience working in a multi-state employer environment.
Familiarity with HR platforms.
Event planning or logistics coordination experience.
