We are seeking a highly organized and dynamic Executive Operations & Office Manager to join our team.
The ideal candidate thrives in a fast-paced investment environment, is detail-oriented, proactive, and comfortable engaging with both internal stakeholders and external partners. Prior Hedge Fund and corporate access experience a plus.
Key ResponsibilitiesExecutive Assistant & Office Operations
· Provide comprehensive support to Partner-Portfolio Managers and senior executives, including heavy calendar management, travel arrangements, and handling ad hoc requests.
· Coordinate internal and external meetings with public company executives, research providers, and sell-side contacts.
· Manage daily office logistics including reception duties, catering, conference room bookings, office supplies, pantry maintenance, and event planning.
· Serve as a liaison across internal teams—trading, research, finance, compliance, legal, investor relations, technology, quant, and risk—to ensure smooth administrative operations.
· Process expense reports, handle invoice submissions, and manage reimbursement workflows.Corporate Access & Broker Relations
· Partner closely with the investment team to execute a high-impact Corporate Access program.
· Serve as the primary contact between Portfolio Managers, analysts, and external corporate access teams to coordinate meetings and event participation.
· Cultivate and maintain relationships with key sell-side brokers to ensure timely updates on relevant opportunities.
· Maintain and regularly update an internal portal to track upcoming events, 1x1 meetings, and roadshows.
· Strategically align corporate meetings with investment priorities to optimize value from participation.
· Assist in reporting and analyzing broker coverage to support performance-based compensation decisions.
Qualifications
· Bachelor’s degree required
· 3–5 years of relevant experience in executive support at a CEO/CIO level, project coordination, or corporate access (financial services experience strongly preferred)
· Strong interpersonal skills; confident engaging with senior executives, high-net-worth individuals, and external stakeholders
· Advanced organizational and multitasking abilities with a keen attention to detail
· Proficient in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint); familiarity with scheduling tools and CRM systems a plus
· Proven discretion in handling confidential information
· Self-starter with a collaborative, team-first mindset and a proactive problem-solving approach
· Ability to operate effectively in a fast-paced, high-stakes environment and adapt quickly to shifting priorities
