Summary
The Mobile Scale Clerk will operate the scale for all loaded trucks leaving the facility. In this position, the Clerk will ensure that the trucks are safe and within weight restrictions and ensure customer tickets and inventory levels are correct.
Primary Responsibilities
Ø Exhibit a strong work ethic with the ability to take direction and work in a team setting and independently.
Ø Adhere to Permian Basin Materials Code of Conduct and company policies.
Ø Greet and assist external callers and the public in a courteous and professional manner.
Ø Respond to customer inquiries regarding product information and price quotes of products readily available, set up corresponding jobs in the tracking system, and generate sales tickets at customer transport.
Ø Operate the weight station scale – ticketing trucks to ensure trucks leaving the facility are at a safe and legal weight.
Ø Properly ticket trucks and transmit those tickets to corporate on a daily basis for billing using Integra and Paperstream software and send in all hard copy tickets to corporate at the end of the month.
Ø Set up trucking vendors and enter new trucks into the computer for proper ticketing.
Ø Coordinate daily with the Operations Manager and loader operator for material inventories information.
Ø Receive, annotate, and process payments for COD accounts.
Ø Maintain records for all daily cash accounts and prepare daily deposit.
Ø Assist field technicians with bi-annual material sampling.
Ø Balance and handle petty cash box daily.
Ø Assure that site visitors are provided appropriate Site-Specific Safety Training and said training is documented.
Ø Assure that appropriate site personnel are informed of site visitors when they arrive.
Ø Maintain files regarding MSHA documentation needed for inspections.
Ø Order Safety Equipment (PPE) and supplies for the office.
Ø Maintain a neat and orderly work environment.
Ø Assist with cleaning the scale house, sweeping floors, taking out trash, and clean restrooms.
Ø Perform other duties as directed.
Secondary Duties
Ø Assist with daily dispatching.
Ø Pick up (Parts Runner), confirm parts ordered and deliver to sites as needed.
Ø Able to fill in all Sales office functions and assist when needed. This includes, but is not limited to, creation of “handwritten” tickets, dispatching, tracking trucks, and assisting with vendor invoices.
Ø Assist Sales Field Tech when there are too many large projects going on in several areas. This includes talking with truck vendors and clarifying directions/coordinates, truck counts, and customer info.
Ø Deliver tickets and supplies to open scale locations when needed. Collecting tickets are to be brought into AR.Requirements:
EXPERIENCE/TRAINING/CERTIFICATIONS
Ø High School diploma or equivalent.
Ø 1 year of relevant experience in office administration preferred.
Ø Microsoft Office Applications experience required.
Ø Bilingual English/Spanish preferred
Ø Valid driver’s license required.
PHYSICAL AND ENVIRONMENTAL REQUIREMENTS
Ø Candidate must be drug free.
Ø Must be able to:
o Lift or carry up to 20 pounds from floor to 3’ – 5’ occasionally,
o Lift, carry, push, or pull up to 10 pounds frequently,
o Stand or walk for extended periods of time with occasional sitting,
o Climb up and down ladders occasionally,
o Use hands, fingers, and feet to operate heavy construction machinery,
o Travel safely while walking and while operating machinery over uneven terrain or in confined spaces,
o See, hear, and respond to verbal, visual, and written instructions and to moving heavy construction machinery,
o Wear proper protective equipment including hard hat, safety glasses, high visibility clothing, steel-toed boots, and gloves,
o Observe all company Safety policies on company premises and while operating heavy construction machinery,
o Continually work in extreme hot and cold weather conditions,
o Work safely in wet, muddy, and slippery conditions occasionally,
Environment will vary from outdoors with varying noise levels and vibrations associated with construction equipment, and exposure to building materials, dust, and dirt at operating sites to a normal office environment.
