Job Summary: The Office Assistant plays a pivotal role in supporting the hiring, onboarding, and engagement processes for a crowd management company specializing in security and guest services for large-scale events. Thisposition focuses on attracting, onboarding, and retaining part-time, occasional, and seasonal staff while ensuring compliance with company standards and legal regulations. The Office Assistant is responsible for maintaining an efficient hiring process, fostering employee engagement, and enabling staff to be event-ready quickly.
Essential Duties and Responsibilities:
Hiring & Onboarding:
• Manage the recruitment process for part-time, occasional, and seasonal staff through the Applicant Tracking System (ATS).
• Coordinate job postings, monitor applications, and schedule interviews to maintain a steady pipeline of qualified candidates.
• Execute and continuously improve the onboarding process, ensuring new hires are equipped and ready to perform their roles effectively and promptly.
• Conduct pre-employment screenings, verify credentials, and ensure all onboarding documents are complete and compliant.
• Collaborate with operational leaders to prioritize hiring for upcoming events and ensure adequate staffing levels.
Employee Engagement:
• Develop and implement initiatives to foster positive employee experience and retention for seasonal staff.
• Serve as a point of contact for new recruits, addressing questions and concerns during the onboarding process.
• Support recognition programs to celebrate staff contributions during events.
• Gather and analyze employee feedback to inform engagement strategies and process improvements.
Compliance & Reporting:
• Ensure compliance with federal, state, and local employment laws, as well as company policies and procedures.
• Maintain accurate records in the ATS and HR systems, ensuring data integrity and confidentiality
. • Prepare compliance reports and assist with audits related to hiring, onboarding, and training documentation.
Performance Metrics :
• Drive a fast and efficient "speed-to-hire" process, minimizing the time from recruitment to deployment.
• Monitor hiring and onboarding KPIs, such as time-to-fill, new hire satisfaction, and retention rates.
• Regularly review and refine workflows to achieve operational excellence.
Minimum Qualifications:
Required:
• 2+ years of experience in a similar HR role, preferably in a fast-paced or seasonal staffing environment.
• Proficiency with Applicant Tracking Systems (ATS) and HRIS platforms.
• Strong organizational skills and the ability to manage multiple priorities effectively.
• Excellent interpersonal and communication skills, both verbal and written.
• Knowledge of employment laws and regulations related to hiring and onboarding.
Preferred:
• Experience in the event or hospitality industry.
• Familiarity with high-volume recruitment and seasonal staffing strategies.
• Bilingual in English and Spanish is a plus
Work Environment :
• This role is an office-based position
• This role may require occasional travel to hire events and on-site support at event venues.
• Must be available to work flexible hours, including evenings and weekends, as needed to meet event timelines.
