Job Summary

The People Operations Coordinator provides administrative support to the human resources department in the following areas: employee onboarding and offboarding, record-keeping, file maintenance, and HRIS data entry. This position requires an extremely perceptive person who is capable of relating to individuals at all levels within the organization. The coordinator must be sensitive to Hawke corporate needs, employee goodwill and the business needs.

Job Responsibilities

Support the onboarding process for new hires, including preparing offer letters, scheduling orientations, and ensuring completion of all pre-employment documentation (e.g., I-9s, background checks).

Maintain accurate and organized personnel records and employee files in accordance with legal requirements.

Assist with maintaining and updating HRIS systems (Paycom), including data entry and report generation.

Draft and send routine HR correspondences such as employment confirmations, policy updates, and changes to status (e.g., promotions, transfers).

Monitor and support compliance with employment laws and internal policies by assisting with audits, checklists, and updates.

Respond to general employee questions and escalate more complex issues to senior HR staff.

Assist in coordinating company events, employee engagement initiatives, and cultural programs.

Participate in ad hoc People Ops projects and provide general administrative support to the team.

Maintain confidentiality and uphold a high standard of professionalism in all HR-related matters. #LI-DNP

Qualifications

1 - 2 years of experience in human resources or recruiting (experience in a media or agency environment a plus).

Familiarity with HRIS systems such as Paycom, or similar platforms preferred.

Strong written and verbal communication skills.

Excellent attention to detail and organizational abilities.

Ability to work collaboratively with cross-functional teams.

Eagerness to learn and grow in the HR field.

Understanding of basic employment laws and HR best practices.

Demonstrated discretion when handling sensitive information.

Bachelor's Degree in related field is a plus

SHRM CP or aPHR certification is a plus
