Job Purpose
The Executive Coordinator will assist the Chief Program Officer (CPO) with execution of her scope of duties with emphasis on board committee oversight, employer and community relations and partnerships. The Executive Coordinator, at times, acts as an extension of the CPO and represents the organization, both internally and externally. The Executive Coordinator oversees board committee communications and coordination of board committee meetings and minutes. The person in this role must have superb writing skills, be able to work under minimal supervision with the ability to take the lead on projects and initiatives, build and maintain relationships with internal and external stakeholders easily, and have a high level of integrity. The Executive Coordinator will provide guidance in instructional practice related to youth engagement and workplace community. This role will help foster a culture of community, helping young people tackle challenges that affect their journey toward economic self-sufficiency.
Essential Functions
Lead and support Board of Directors Committees
Serve as board committee liaison to plan and coordinate Board Committee meetings - this includes Employer Partnership Committee, JOG Board Taskforce and the Hill/McDonald Scholarship Board subcommittee.
Lead McDonald Hill scholarship process.
Produce timely and accurate minutes at each regular board committee meeting and communicate directly and on behalf of the CPO with Board Committee members always keeping a professional and friendly demeanor. Lead efforts to organize and support program events.
Assist with program logistics
Assist with program event logistics (Youth Career Olympics, Resume Workshops and Mock Interviews etc.) Provide communication and administrative support to the CPO
Communicate directly with and on behalf of the CPO with Committee Board members, school staff and administrators, community partners, Y.O.U. staff, and others related to CPO's initiatives, always keeping a professional and friendly demeanor.
Produce timely and accurate minutes at each meeting.
Communicate with vendors in a timely manner.
Partner with Development and Communications team to provide support with fundraising, marketing and event initiatives as directed by CPO.
Work closely with program managers and/or directors to assist with project management of program initiatives.
Work closely with Volunteer & Alumni Coordinator to execute program support.
Work closely and effectively with the CPO to keep her well informed of upcoming commitments and responsibilities, following up appropriately.
Prioritize conflicting needs; handle matters expeditiously and proactively; and follow through on projects to successful completion.
Manage active calendar of appointments, arrange complex agendas, make travel arrangements, coordinate meeting spaces, work closely and effectively with the CPO to keep her well informed of upcoming commitments and responsibilities, following up appropriately, including prioritize conflicting needs; handle matters expeditiously and proactively; and follow through on projects to successful completion. When CPO is out of office, this position monitors and screens email and phone communication on behalf of CPO.

Education
Bachelor's degree in Communications, Business, Marketing, or other related field from an accredited college or university preferred.
An additional 4 years of work experience as detailed below can be substituted in lieu of a bachelor's degree. High School Diploma required. Requirements
2 years of experience in high-level communications and executive administrative support in a professional setting.
Must have experience in coordinating and managing multiple projects.
Must be proficient in Microsoft Office Suite.
Must have advanced organizational and record keeping skills.
Must pass a background BCI/FBI check as a condition of employment. Knowledge, Skills and Abilities

This is a hybrid position. This position will work remotely 1 day a week and will be scheduled to work in the office 4 days a week. The work pace for this position is sometimes fast paced where work is required for up to 2 hours at a time. Low supervision from managers with intermittent prompts is expected. Social interaction with clients and team members required frequently.
This position requires such physical abilities as sitting for computer and phone work for long periods of time, lifting to 25lbs occasionally and carrying office supplies, standing for training presentations, walking to various Y.O.U. offices, partner organizations, and government agencies, and walking throughout the buildings. This position requires 20%-25% local travel to Y.O.U. offices, community partner organizations, work sites, government agencies, and other meetings as requested.
The environment in which the job is performed outside a normal office space may include exposure to extreme temperature, noise, or other hazards. All remains the same for any additional requirements for training.
