Job Description
What You’ll Do:
Office Operations: Manage incoming calls, emails, and internal correspondence in a professional and organized manner.
Calendar Coordination: Schedule appointments, team meetings, and track project deadlines across multiple service teams.
Document Preparation: Assist in the creation and organization of contracts, proposals, purchase orders, and job-related paperwork.
Client Communication: Serve as a key point of contact for client updates and questions; relay information to appropriate team members.
Project Support: Help coordinate job site visits, subcontractor communications, and milestone tracking for ongoing projects.
Billing Assistance: Prepare documentation needed for billing once jobs are completed and coordinate with accounting.
Data Entry & Record Keeping: Maintain accurate project records and enter data into company systems or software.
Administrative Support: Provide day-to-day support to the team, including filing, scanning, copying, and general office tasks.
Miscellaneous Duties: Assist leadership with special projects and administrative initiatives as needed.
What We’re Looking For:
High school diploma or equivalent (required).
Previous administrative experience; construction or service-industry background preferred.
Proficient in Microsoft Office (Word, Excel, Outlook).
Strong attention to detail with excellent organizational and multitasking skills.
Clear verbal and written communication skills.
Familiarity with basic construction or trade terminology is a plus.
Ability to handle confidential information with professionalism.Company Description
