JOB TITLE: Office Manager-Ice Hall Figure Skating APPROVED BY: Allan Long
REPORTS TO: Director of Event Services-Ice Hall CLASSIFICATION: Non-Exempt
SUMMARY: Manages, coordinates and oversees the general office tasks and supervision of the Learn to Skate activities of the Colorado Springs World Arena Ice Hall office. Manage and direct staffing to achieve customer satisfaction, quality service, and compliance with established procedures and policies.
DUTIES AND RESPONSIBILITIES:

· Must be able to manage and direct staff of full-time and part-time personnel in a busy office setting dealing with a diverse customer base while maintaining a friendly, customer service-oriented attitude.
· Work varied schedule - hours may include mornings, evenings, weekends, and holidays.
· Oversee and schedule all full-time and part-time Ice Hall Office administrative/LTS staff to ensure hours are covered.
· Maintain and improve upon a system of accountability for “safe ice” session numbers and session payments, including checking sessions once at the beginning of the session, and again midway through.
· Coordinates the Learn-to-Skate program, organizing sessions and instructors, generating new business.
· Keeps up to date on overall activities of the figure skating program, identifying problem areas and taking corrective actions.
· Answering phones, typing, organizing, filing and other administrative support of figure skating program and the Director of Event Services-Ice Hall
· Maintains professional and effective customer service with coaches, peers, coworkers, skaters and the general public.
· Assist in office when coverage is needed.
· Process transactions involving cash, credit cards and checks.
· Balance payments and start-up cash drawer.
· Data entry into ticketing system, contract ice database and Summer Skate database which includes skating levels, and sessions.
· Extensive data entry/computer work involving skater registrations and programs.
· Other duties as assigned.
QUALIFICATIONS:
· Three to five years proven supervisory experience in a retail, business or similar office setting.
· Must be able to provide evidence of 3 – 5 years’ experience in an administrative position directly supervising a staff of 2 or more personnel.
· Basic knowledge of financial transactions as they pertain to payments for services and balance of payments.
· Ability to manage multiple tasks.
· Strong organizational, problem-solving and communication skills.
· Proficient on Microsoft Word and Excel.
PHYSICAL/MENTAL REQUIREMENTS:
While performing the duties of this job, the employee is frequently required to do the following:
· Physical ability to move around facility and will require periods of standing.
· Lifting of up to 20 pounds may be necessary.
· Data entry and computer/keyboard input without limitations
· Perform some repetitive motion activities.
· Calculate figures and amounts.
· Coordinate multiple tasks simultaneously.
· Understand and respond to a diverse population.
WORK ENVIRONMENT:
· Subject to working in cold temperatures.
· May be requested to work overtime and weekends for special program events.
· Must also be able to work in a variety of weather conditions ranging from cold to warm temperatures indoors some work is done on a slippery surface.
· At time working with public may deal with disgruntle patron.
