Position Overview: The Operations Assistant plays a crucial role in supporting the smooth functioning of BVMI. This position is responsible for overseeing various administrative and operational tasks to ensure efficiency and effectiveness across different departments.
Key Responsibilities:
Administrative
Manage donation processing: Receive, document, and deposit donations, ensuring adherence to financial procedures and maintaining detailed records.
Inventory management: Monitor inventory levels for clinical supplies and office supplies, research vendors, place orders, and coordinate with staff to optimize stock levels.
Procurement: Source and procure necessary supplies and equipment, ensuring cost-effectiveness and timely delivery.
General office duties: Handle general office tasks such as mail, filing, and running errands.
Compliance: Maintain compliance with OSHA regulations by updating and managing the OSHA binder.
Clinical
Clinical form management: Create, update, and maintain clinical forms, including converting medical history forms to PDF format.
Telehealth support: Provide backup support for troubleshooting telehealth programs.
Scheduling and coordination: Coordinate volunteer schedules, practitioner shifts, and resource allocation to optimize clinic operations.
Development
Event logistics: Manage logistics for fundraising events, including venue booking, vendor coordination, and on-site management.
Donor and sponsor relations: Assist in managing donor and sponsor communications, including invitations, RSVPs, and follow-up.
Volunteer management: Recruit, train, and manage event volunteers.
Marketing and communications: Collaborate with the marketing team to develop event-related materials and social media content.
Budget management: Assist in managing event budgets and tracking expenses.
Qualifications:
High school diploma or equivalent; Bachelor's degree preferred.
Minimum of 2 years of office experience.
Experience in scheduling, financial management, or procurement.
Strong organizational and time management skills.
Attention to detail and accuracy.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office Suite (or Google Workspace) and EMR systems (Athena preferred).
Valid driver's license and reliable vehicle.
