Summary
The Civic Joy Fund is seeking a proactive and organized Special Projects Assistant to support the Deputy Executive Director in overseeing and executing our portfolio of city wide civic programs. The ideal candidate will be passionate about community engagement, comfortable juggling multiple projects, and adept at both operational coordination and light administrative duties.
Position Overview
As Special Projects Assistant, you will report directly to the Deputy Executive Director. You’ll help our fast moving and agile team manage and execute programming across all Civic Joy Fund initiatives, ensuring seamless coordination, strong volunteer engagement, and clear communication both internally and with external partners. This role combines on the ground event support with behind the scenes project management and administrative tasks.
Location and Logistics
The Special Projects Assistant is expected to work on site within San Francisco. The Civic Joy Fund’s office is at 1111 Oak Street, but our work will take us all across the city. We typically work remotely on Mondays and this role will include some evening and weekend work as a majority of our programs will occur at those times.
Key Responsibilities
Program Coordination (60%)
Aid in logistics oversight for all Civic Joy Fund initiatives
Serve as secondary point of contact for volunteer captains and other community partners
Track and report program metrics
Maintain and execute program timelines
Administrative Support (20%)
Manage scheduling and meeting agendas
Coordinate billing, invoicing and expense tracking in partnership with Finance
Maintain shared project files, databases and volunteer rosters
Track, organize, and analyze program metrics
Board and Executive Support (20%)
Schedule and organize board meetings
Prepare slide decks, one pagers, briefing notes and agendas for board meetings
Take and circulate meeting minutes, track follow-up action items
Qualifications
Must have:
Strong organizational skills and keen attention to detail
Ability to manage multiple deadlines in a fast paced environment
Excellent written and verbal communication skills
Excellent project and time management skills
Passion for civic engagement and community building
Love for San Francisco
Nice to have:
Experience with volunteer organizing
Proficiency in Google Workspace, particularly sheets
Compensation and Benefits
Salary: $60,000 - $80,000 per year
Full-time position with flexible work hours
