Job Summary:
The Senior Payroll Coordinator is responsible for supporting and executing all payroll operations for both legal and non-legal staff using the Paycom payroll system. This includes processing payroll, managing benefit and deduction changes, ensuring tax compliance, and assisting with quarterly and annual reporting, including W-2 forms.
The Senior Payroll Coordinator reports directly to the Firm Controller and provides reports to the Executive Director and Director of Human Resources. This role works closely with HR and Accounting to maintain payroll accuracy, compliance, and operational efficiency
Key Responsibilities:
Process bi-weekly and monthly payrolls
Process bonus payrolls as needed
Issue manual checks when required
Maintain and update employee payroll records
Review and submit pay and tax status changes for approval
Handle voluntary and involuntary deductions, including:
-Benefit deductions
-Garnishments and related payments
Manage e-TRAC enrollments, updates, and funding reports
Ensure payroll data accuracy and compliance
Manage voided checks and stop payments
Process miscellaneous payroll changes
Fulfill ad-hoc payroll report requests promptly
Coordinate London payroll funding
Support the timely posting of G/L entries into the accounting system
Assist in calculating eligible earnings for profit-sharing distributions
Assist with annual 401(k) and workers’ compensation audits
Ensure compliance with federal, state, and local tax regulations
-Coordinate with Paycom on tax filings
-Reconcile quarterly and annual tax reports and W-2 forms
-Implement ACA requirements for W-2 healthcare cost reporting
Collaborate with HR and Accounting on all payroll matters
Provide wire instructions for net payroll to Accounts Payable
Submit 401(k) funding amounts to Accounts Payable and funding files to Fidelity
Manage monthly retired partner payments
Support various special projects as assigned
Ideal Candidate Qualifications:
Ability to foster strong working relationships with team members, leadership, and vendors
Familiarity with payroll reconciliation and accounting processes
Strong time management and ability to meet reporting deadlines
Knowledge of 401(k) compliance, including funding timelines and contribution limits
Additional Responsibilities:
Perform other duties as assigned to meet business needs
Provide support to colleagues in the department as needed
Required Skills & Experience:
10+ years running payroll
Experience with Elite 3E
Proficiency in Paycom
Strong skills in Microsoft Word and Excel
Law firm experience is preferred
