Required – One (1) year experience working as a receptionist or office assistant greeting guests and answering calls and two (2) years’ experience in a customer service environment. Proficient in Spanish (oral and written).
Preferred – One (1) year experience working as a receptionist or office assistant greeting guests and answering calls and two (2) years’ experience in a customer service environment, preferably in a public-school setting or office. Proficient in Spanish (oral and written).
ESSENTIAL PERFORMANCE RESPONSIBILITIES:
Answers the Educational Support Center telephone switchboard and responds appropriately to requests for information.
Meets and communicates effectively with staff and the public in a professional, courteous, and friendly manner, thus promoting a positive image.
Maintains a professional and comfortable reception area which includes a reading table stocked with current school district publications, periodicals of general interest and professional reception area décor.
Serves as a backup to the internal processor responsible for incoming mail to include sorting and routing of interoffice and U.S. mail.
Assists with distribution of Fed-Ex and UPS mail and packages.
Assists in the registration of new students as needed.
Enters and processes all purchase orders for Educational Services department.
Enters purchase order information into an Excel spreadsheet to keep track of delivered and/or missing orders.
Contacts vendors if there are problems with orders.
Files all purchase orders and with accounts payable department once orders have been delivered.
Assists in the coordination and registration of district preschool screening
Takes phone calls to register child
Sends home screening information packet
Prepares folders for screening
Registers families for Woodland Educational Learning Experience and Preschool Screenings.
Enters student information in the Prekindergarten shared drive.
Emails parents links, the Home Language Survey Form, and steps for upcoming screening.
Collects Home Language Survey Forms.
Keeps track of such forms for screening team.
Registers visitors and guests using the Visitor Management System.
Informs internal employees their guests have arrived, after registering the visitor as a Guest.
De-escalates any situation that arises with guest by providing assistance and/or including other leadership individuals.
Assists the Educational Support Center Administrative Supervisor with policies and administrative procedures.
OTHER PERFORMANCE RESPONSIBILITIES:
1. Assist in other areas as needed.
2. Complete other duties assigned.

Technical: Uses the district email system, Google platforms, Microsoft Office, and the district’s attendance system; Must have strong typing and computer skills.

PHYSICAL DEMANDS:
Manual Dexterity: Work requires definite skilled and accurate physical operations requiring some closely coordination performance.
Physical Effort: Work requires handling average weight materials or equipment, but not for sustained periods. Must be able to lift 25 pounds.
Working Conditions: Some exposure to definitely disagreeable elements may exist, i.e., temperature changes, use of steps/stairs, walking long distances throughout the building, etc.
TERMS OF EMPLOYMENT: Full-time, 12-month (260 days), non-exempt Union position.
SALARY RANGE: $15.33 per hour, with the opportunity to earn up to an additional $@.10 through Knowledge, Skills and Abilit
