Responsibilities
The Practice Manager enthusiastically leads and manages the overall operations of the practices and supports the company's mission while developing a high-performing practice team and cultivating positive relationships with providers and team members
The Practice Manager contributes to the office's success by effectively executing the companys business model; promoting the company culture, mission, and values; and ensuring consistent compliance with all key company programs, operating initiatives, and audits
Oversees and manages practice business operations, including key performance measures and practice revenue and expenses, with a week-to-week outlook
Accountable for achieving yearly patient visits, revenue, and P&L goals
Takes personal ownership of the practice by being a positive role model as a leader
Creates a respectful workplace and is accessible, open to new ideas, and fosters a cooperative and collaborative environment
Takes initiative and ensures self and team are accountable to the highest standards of performance and behavior
Demonstrates and encourages a patient-focused approach
Fosters strong relationships with referral sources (pcp's, psychiatrists, pediatricians, and therapists) and patients to create connections and influence retention
Manage clinical staffing schedules to ensure proper coverage and optimal patient flow
Participate in recruitment, onboarding, and training of new team members
Coach and develop existing team members to enhance their skills and performance
Address conflicts early, provide constructive feedback, and document coaching sessions
Ensure clear and consistent communication with partner doctors and associates

Practice Manager Behavioral Health Practice (California, Massachusetts, or Remote)
Position Overview:
We are seeking a highly motivated and detail-oriented Practice Manager to oversee the day-to-day operations of our behavioral health practice. The ideal candidate will have a proven track record in healthcare management, excellent communication skills, and the ability to manage bicoastal operations effectively. This role requires a mix of operational oversight, patient interaction, and strategic planning to ensure the smooth functioning and growth of the practice.

We have practices in California and Massachusetts, but you don't necessarily need to be based in these states to be an effective practice manager these days.
Key Responsibilities: Patient Coordination and Front-End Operations
Serve as the primary point of contact for patients, ensuring excellent customer service on the phones and in written communication.
Schedule, cancel, and reschedule appointments efficiently while maintaining patient satisfaction.
Collect and process patient copays, deductibles, and outstanding balances.
Address patient inquiries, concerns, and billing-related issues in coordination with the billing team.
Practice Operations Management
Oversee day-to-day practice operations, ensuring smooth workflows across all locations.
Coordinate with billing teams to monitor revenue cycle management and address outstanding claims or collections issues.
Manage practice management tools such as Asana, ensuring tasks and projects are tracked and completed on time.
Monitor practice cash flow, identify trends, and implement system improvements to optimize financial performance.
Oversee compliance with all regulatory requirements and ensure timely updates of licenses, certifications, and practice policies.
Human Resources and Employee Oversight
Manage payroll, 401(k) contributions, and other employee benefits in collaboration with the finance team.
Provide HR support, including onboarding new employees, maintaining personnel records, and ensuring adherence to policies.
Supervise employees to ensure accountability and productivity, conducting regular performance reviews and addressing performance issues.
Foster a positive and productive work environment, addressing employee concerns and facilitating conflict resolution.
Strategic Planning and Big-Picture Oversight
Collaborate with leadership to develop and implement strategies for practice growth and efficiency.
Analyze financial reports and operational metrics to identify opportunities for improvement.
Proactively identify and implement system changes to streamline operations and improve patient and employee experiences.
Qualifications:
Education and Experience:
Bachelors degree in healthcare administration, business management, or a related field required (Masters preferred).
Minimum of 35 years of experience managing operations in a healthcare setting, preferably in behavioral health.
Experience managing multi-location or remote teams is highly desirable.
Skills and Competencies:
Communication: Excellent phone and interpersonal skills, with the ability to interact professionally with patients, employees, and vendors.
Technical Proficiency: Familiarity with practice management software (e.g., Asana, EHR systems) and financial tools.
Organization: Strong ability to manage competing priorities, meet deadlines, and maintain attention to detail in a dynamic environment.
Problem-Solving: Proactive and solution-oriented mindset, with a focus on continuous improvement.
