About the Job

The Executive Assistant is responsible for providing high-level administrative support to the Executive Vice President of McDaniel. This role ensures the efficient use of their time and resources through proactive planning, coordination, and execution of administrative tasks.

Key Duties and Responsibilities

· Manage the Executive Vice President’s calendar, schedule appointments, and coordinate meetings and travel arrangements.

· Overseeing incoming and outgoing email communication.

· Coordinate and maintain an ongoing schedule of client and internal meetings.

· Provide and coordinate administrative services and assistance ensuring confidential, accurate, efficient, and timely support to achieve the objectives.

· Record minutes during meetings and proactively follow up on action items and deliverables.

· Prepare and organize reports, presentations, and correspondence for meetings and events.

· Anticipate the needs of the Executive Vice President and proactively address them, including managing priorities and deadlines.

· Assist in organizing and coordinating certain company events, meetings, and conferences.

· Enter expense reports on behalf of the Executive Vice President.

· Work collaboratively with various departments and all levels of staff.

· Other related duties as assigned.

Qualifications/Skills

Diploma or certificate in administration, business, or a related field

Minimum five years of Executive Assistant experience is required

Advanced Microsoft Office proficiency

Excellent verbal and written communication skills

High level of discretion and the ability to handle sensitive information

Strong organizational and time management skills and administrative skills

Ability to work independently as well as part of a team
