Keystone Pacific Property Management, LLC is a prestigious Homeowners Association Management firm headquartered in Irvine, CA, with offices throughout Northern and Southern California, Colorado, and Idaho. We are currently in search of an Association Controller for our regional office in Boise, Idaho. The responsibilities and qualifications are listed below.

Summary: The Association Controller is responsible for the client service and management of the Accounting Department responsible for providing multi-department accounting, cash management, financial reporting, and financial management consultation services for all community association clients. Works with the property managers, general managers, property developers, community association Board of Directors and third-party service providers on financial matters. Builds and manages teams effectively.

Requirements

Essential Job Duties and Responsibilities:

Manage all Accounting departments regarding operations and professional development.

Financial Team:

Ensures monthly financials are accurate and timely by reviewing and overseeing production by Team Members for all association communities.

Prepares timely and accurate monthly financial statements for key accounts monthly and other accounts on an as-needed basis as assigned. Handles special projects or analyses.

Performs and oversees day-to-day, month-end and year-end duties for assigned communities/accounts.

Manages all banking including money transfers, main point of contact with Bank, low fund situations, opening/closing bank accounts, and other banking duties.

Prepares annual budgets and quarterly taxes for applicable association communities.

Accounts Receivable: Ensures delinquency, billing, and collection processes by AR team are accurately and timely completed. When applicable, ensure balance forwards are set up correctly.

Accounts Payable: Ensures vendors, payments, and funds are timely and accurately monitored and handled. Resolve low funds situations and transfer funds when needed.

Conveyance Team: Ensures team timely and accurately conveys homes, and new developments are set up correctly.

Corporate Billing Team: Ensures team timely and accurately processes billings, making executive decisions when necessary.

General Accounting Duties:

Troubleshoot any accounting or reporting issues in collaboration with the community management. Meets with clients, to understand and plan for changing needs, monitor client satisfaction, and follow up on client inquiries.

Assist the Accounting Department with questions, escalated situations, analyzing and improving inefficiencies, and overall guidance.

Responsible for directing Team Members to achieve results. Provides guidance and direction to ensure overall departmental success. Oversees all Accounting departments’ processes and procedures for all communities to ensure compliance and prompt resolution.

General Duties:

Assist in offboarding/onboarding association communities by being the main point of contact for external communication, monitoring progress, overseeing accounting portions, and keep team up to date on updates.

Perform all applicable duties required of the Executive AMI team.

Managerial Duties:

Participates in the hiring process by interviewing potential Team Members and selecting those that best meet staffing needs. Participates in management training. Follows all Human Resources policies. Ensures staff receives any required training or attends mandatory meetings.

Monitors and develops Team Member performance to include, but not limited to, providing supervision, scheduling, conducting counseling and evaluations and delivering recognition and reward. Ensures Team Members have current knowledge of information and processes required to provide good customer service. Ensures staff is kept informed about policies and procedures.

Makes merit decisions within budget or established guidelines. Determines promotions or reclassifications within company policy. Approves leave and time away from work within company policy. Enters schedules and monitors timecards for accuracy.

Provide backup to departments when needed.

Manages special projects as requested.

Qualification Requirements:

Thorough knowledge of accounting principles and practices.

Ability to perform all essential duties and responsibilities listed above with minimal supervision, handling assignments with the highest level of discretion, judgment, and independence.

Excellent organizational and time management skills. Capable of managing competing priorities under pressure and in a fast-paced environment. Requires ability to lead others by mentoring and providing training. Ability and experience in successfully leading and coordinating staff in a high-volume, time-sensitive environment.

Must have excellent employee relations skills to resolve problems and provide a high level of employee satisfaction.

Must have strong written and verbal communication skills. Exceptional customer service skills to provide a high level of customer satisfaction.

Requires the ability to use computers to record, store, and analyze information. Requires computer proficiency and technical aptitude with the ability to utilize MS Office (Excel, Word, PowerPoint, and Outlook) and various applications found in use within the company. Good knowledge of various business machines typically found in an office. Must be strong in Excel.

Uses logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems. Requires strong attention to detail and strong analytic skills. Must be able to solve problems and remain calm and alert during busy activity periods.

Must maintain a clean appearance and professional demeanor.

Must possess a valid Driver’s License and maintain clean MVR.

Must have reliable transportation and the ability to drive to community offices.

Education and/or Experience:

Bachelor’s degree in accounting or related field. CPA Desired.

Requires five or more years of progressively responsible accounting/general ledger experience.
