Key Duties and Responsibilities:
Manage front desk coverage, including answering a multi-line phone system and welcoming visitors
Respond promptly to email inquiries from customers and the sales team
Maintain up-to-date records of vehicle documentation, titles, and consignment paperwork
Coordinate and order office and shop supplies to keep daily operations running smoothly
Assist in researching and sourcing vehicle parts as needed
Prepare internal paperwork such as service quotes and job order forms
Enter and update parts inventory data into the system accurately
Scan, sort, and electronically file vendor invoices into designated folders
Set up physical folders for new vehicles and reorganize completed ones for archiving
Keep customer files complete by printing and filing all relevant email communications
Support the preparation and submission of DMV-related documents
File all vendor invoices in an organized manner for easy retrieval
Requirements:
Strong communication skills, both written and verbal
Ability to manage multiple priorities with a high level of accuracy
Familiarity with Microsoft Office and digital filing systems
Excellent time management and follow-through skills.
