The Nationwide Hotel and Conference Center located in Lewis Center is searching for a Reservations Coordinator to join our team!
The Reservations Coordinator serves as the primary point of contact for guest reservations. This position also serves as an integral liaison between Food & Beverage, Sales, Planning, Housekeeping, Engineering and the Front Office, ensuring that arriving guests are proactively assisted.
Essential Functions:
The Reservations Coordinator must possess a positive and upbeat personality with the desire to deliver outstanding customer service to our guests.
Possesses the ability to multi-task, be detail-oriented, and be able to problem solve in order to effectively deal with internal and external customers.
Completes the Rooms Control checklist each shift.
Serves as a Front Desk associate when occupancy dictates or to cover breaks, etc.
Operates as the first point of contact for incoming phone calls. Promptly answers telephones with a clear and positive voice. Handles all requests and problems and when needed, delegates special requests to appropriate persons or departments. Takes reservations, following the standard operating procedures for group inventory and availability. Places calls on hold, as necessary. Follows upselling procedures to maximize transient revenue.
Follows the proper standard operating procedures regarding cash handling.
Pleasant, well groomed, neat and clean hands and nails, conservative jewelry and hairstyle, professional, neatly trimmed beard or mustache, if applicable.
Good grammar, strong verbal skills, legible handwriting, able to effectively communicate with guests both verbally and in writing, pleasant phone voice.
Basic understanding of guests’ needs, desires and methods of servicing to the guests’ satisfaction, adaptable to change.
Assists the Rooms Leadership team in the management of the inventory balancing. Alerts staff, including management, of any oversells, inventory imbalances, challenges, special accommodations unmet, or any other situations that may otherwise impact guest satisfaction.
Serves as a point of contact for credit card authorizations and tax-exempt paperwork for upcoming groups and guests.
Works with Rooms Leadership to manage Offmarket rooms with Engineering and Housekeeping. Alerts management of any conflicts that may affect the guest experience or create an inventory issue.
Assists the Rooms Leadership team in the management of the group resumes, ensuring all information is correct and any special circumstances have been communicated to the Rooms staff. Ensures wedding amenities/wedding bags are delivered properly and noted, as appropriate.
Completes third-party reconciliations as required and in a timely manner.
Keeps the back office clean and professional in appearance.
Works with Housekeeping leadership to ensure that all amenities and towels/linens housed in the back office are stocked regularly. Alerts when items are low in stock and need to be ordered.
Works with Sales department to ensure show rooms are available. Communicates the room numbers, as necessary.
Assists Rooms leadership with new-hire training when shift and content dictates and as necessary.
Works with Planning team to complete any rooming lists, as necessary.
Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the department.

While performing the duties of this job, the employee is regularly required to stand, sit, walk, talk, and hear.
This position requires long periods of sitting in front of a computer as well as extended periods of standing while at the Front Desk.
Requires occasional assistance with luggage for guests up to 20 lbs.
