Position Summary
The Student Accounts Supervisor is responsible for overseeing all aspects of Student Accounts, including billing, collection, refund, deposit and record maintenance of student accounts and all other non-student receivables. Reporting to the Controller, the Student Accounts Supervisor will maintain effective communication with the Financial Aid Office and other student services departments, while providing direct managerial leadership and guidance to student accounts staff.
Description of Key Responsibilities
Ensure proper cash controls, accurate transaction records, and supervise the cash receipts process for all College revenue collection. Oversee the student refund process
Oversee the student accounts team to ensure responsive, high-quality service for account inquiries, disputes, and payment options. Supervise and support Student Accounts Specialist(s), setting goals and standards that foster effective relationships with students, parents, faculty, staff, and other revenue contributors.
Manage the collection efforts of balances due to the College and coordinate the assignment of past due receivables to a contracted collection agency.
Oversee all activities associated with the Ellucian/Colleague student billing and TouchNet cash receipt systems. Develop detail codes, funds, tables and accounting rules for correct accounting entries for transactions generated. Provide guidance, investigate errors, and assist in resolving problems with student accounts.
Address student account questions, concerns, and complaints, meeting individually with students and parents to resolve issues and refer them to appropriate departments or external agencies as needed.
Communicate with external student funding sources and understand their programs and requirements, such as College Illinois, Veterans Administration, and the College's payment plan organization.
Maintain the Student Account Office website, updating policies, payment procedure information and instructions, posting tuition and fees for each period.
Coordinate with Accounting regarding monthly and year-end close reconciliations. Prepare reports for external and internal audits.
Participate in orientation programs and present student account information to new students and families as needed
Prepare student insurance rosters, submit them to the insurance company, and process payment requests
Investigate appeal information for general petitions submitted to the Vice President for Business Affairs.
Serve as the student accounts liaison to the Office of Financial Aid, Registrar, Residence Life, Food Service, Fine Arts, Athletics, Camps and Conferences and other departments as appropriate.
Maintain institutional policies aligned with financial regulations. Ensure compliance with federal and state regulations (e.g., FERPA, Title IV).
Coordinate with IT to ensure accurate and timely preparation and issuance of IRS Form 1098-T for all eligible students. Address student and parent inquiries regarding 1098-T content, corrections, and eligibility.
Perform other job-related duties as appropriately assigned. Required Knowledge, Skills and Abilities
An individual in this position must possess the proficiency, wherewithal and knowledge of principles and processes for providing high-quality customer service to both internal and external constituents of the College.
Ability to quickly grasp knowledge of the College organization and operation, including the accounting system.
Knowledge of accounting principles.
Knowledge of proper reconciliation procedures and applicable federal and state laws.
Knowledge of Microsoft office applications, spreadsheet design.
Ability to consistently demonstrate excellent interpersonal skills in dealing with persons both internal and external to the College, both on the telephone and in person. Ability to work effectively as a member of a team.
Knowledge of and ability to use computer-based systems including database management, spreadsheet applications and word processing. Knowledge of computer systems, preferably Ellucian/Colleague and TouchNet are essential.
Ability to communicate effectively.
Ability to exercise good judgment in evaluating situations and making decisions.
Distinguishing Characteristics
The Student Accounts Supervisor plays an important role relating to the fiscal operation of the institution. Efficient and timely action of records maintenance and management are essential. Accuracy with regard to accounting for student accounts, both current and delinquent, is essential in order to maintain the integrity of the College's financial statements.
This position requires excellent customer relations skills as well as proficiency with accounting, database, spreadsheet, query building, and word processing software. A working knowledge of financial aid available to students (i.e., various federal and state grants and loans) is also essential.
Education/Training
An Associate's Degree in Accounting, Finance or other Business-related field from an accredited institution. A Bachelor's Degree or higher is preferred.
Experience
At least 3-5 years of supervision experience in a customer accounts environment, preferable in a college or university environment.
