POSITION SUMMARY

The Intake/Adoption Placement Specialist is responsible for assisting the Animal Movement department with adoptions, the foster-to-adopt program, and intakes. This position includes but is not limited to managing initial inquires, completion, and follow-up of the adoptions program. The person in this position is expected to enhance community engagement through the highest quality of customer service to our clients as we assist them in finding an appropriate adoption match, or with the process of surrendering their animal to us. The Intake/Adoption Placement Specialist will be expected to work closely with all departments within the organization to ensure client satisfaction while meeting the mission and vision of Tulsa SPCA; specifically must agree with Tulsa SPCA's philosophy of removing barriers for adoptions.

ESSENTIAL FUNCTIONS & DUTIES

Adoptions

Serve as a Tulsa SPCA's liaison for potential adopters including answering general questions and concerns regarding adoptions and animal availability

Provide outstanding customer service by ensuring smooth and efficient operations of all adoptions and returns

Effectively utilize and maintain shelter database (ShelterLuv), with respect to the adoptions process, in order to reach organization and program objectives

Establish an environment that encourages client satisfaction and positivity

Ensure completed folder with accurate information is given to all adopters, along with designated supplies before leaving Tulsa SPCA with adopted animal

Implement strategic salesmanship to ensure every adopter is offered our retail preventatives and clinic services

Collaborate with Director of Community Engagement to prepare animal folders and adoption kennel cards for all offsite programming, including Mobile Adoption Center (MAC) events.

Maintain a clean, organized and safe environment for the animals and public at all times. Stock all supplies prior to opening

Assist with training staff and volunteers on proper use and completion of adoptions in database

Assist in gathering information/data for adoption-related grants and outside publications

Conduct financial transactions as required for completed adoptions

Responsible for following procedures for tracking payments taken and logging appropriate information on the report turned in weekly to the Animals Connections Manager

Reviewing, logging, & returning voicemails on the Adoptions extension

Foster to Adopt

Assist Animal Connections Manager with intakes and transport as needed

Responsible for insuring foster-to-adopt animals are brought back as needed for vet care and adoptions, and provide support to foster families

Intakes

Prepping for and assisting with intakes as needed; may include behavior screening of dogs/cats before commitment to intake

Assisting with initial intake vetting for new animals (vaccinations, exams, microchips, administration of parasite prevention, etc.

Reviewing, logging, & returning voicemails on the Intake extension

Available to help with hoarding cases as needed

Other Duties

Attend training required to enhance knowledge and animal handling/welfare skills

Comply with all Tulsa SPCA policies and best practices, including a high standard of dependability for promptness and attendance

Performs related work as required

POSITION REQUIREMENTS

High School diploma or State Equivalency certification required. Some college preferred

Must exhibit strong interpersonal and customer service skills; along with excellent verbal and written communication skills.

Bilingual abilities preferred

Exhibits excellent organizational and sound decision-making skills with attention to detail

Experience and knowledgeable with Windows-based PC, including general office software required. Capable of learning new database systems.

Ability to perform clerical duties such as data entry, answering a multi-line phone system, returning phone calls, filing, copying as needed

Ability to promote Tulsa SPCA's animals, clinical products and services effectively

Must have a valid driver's license

Availability to work weekends and varied shifts as required

Flexible and adaptable to fast-paced environments and stressful situations.

Multi-task and self-starter, ability to learn quickly.

Respect for animals and ability to exercise proper control

Must remain professional, calm, polite, friendly, and empathic at all times; even during stressful situations.

General knowledge of animal welfare helpful

Working Environment

Office setting with extended periods of sitting, talking, and listening

Exposure to odors, wet, humid, and dusty conditions, airborne particles, fur, hair, animal waste, and various cleaning chemicals and supplies.

May be exposed to sick, injured and vicious animals.

Ability to bend, walk, reach, push, pull, sit, and stand for extended periods of time. Ability to hear, talk, and use hand dexterity, specific vision abilities required to include close vision, and ability to adjust focus.

Noise levels in kennel areas vary

SCHEDULE

PT position. Schedule can vary, shift changes will be necessary sometimes as will work on holidays and some overtime.
