Operations Coordinator

Job Description

Position Overview: This is a position at a small business where the Operations Manager will be responsible for managing the office, working with the production manager to oversee the efficient processing, packing, and shipment of massage products, and ensuring timely delivery and excellent customer service. This position requires organizational skills, general computer skills, experience with accounting software like Quickbooks, attention to detail, good communication with customers and team members, and the ability to coordinate multiple aspects of logistics to ensure customer satisfaction. There are office work and manual labor aspects to this position.

Training: There is a two week, paid training period that includes time on the floor and an introduction to the accounting software.

Key Responsibilities

Receive and Ship Orders: Receive, enter, and ship phone and online orders, ensuring accuracy and timely processing.

Coordinate with Floor Operations: Communicate with warehouse or production team to prepare orders for shipment according to customer specifications. See below, Time Management.

Time Management: Manage and prioritize order timelines for multiple customers, collaborating closely with the production manager to ensure timely fulfillment and proper prioritization. Communicate expected receipt dates to customers and maintain regular communication with the business owner and production manager to ensure alignment with overall business requirements.

Inventory: Work with warehouse staff to track inventory and order necessary materials. Maintain and organize inventory lists.

Arrange Truck Pick-Up and Shipment: Coordinate with transportation providers to schedule pick-ups, ensuring coordination of timing with the warehouse.

Additional Responsibilities

Conduct quality checks on incoming and outgoing materials.

This is a small company and hires require flexibility to handle various tasks as necessary, demonstrating adaptability in a factory setting.

Required Skills and Qualifications:

Communication Skills: Strong verbal and written communication to coordinate with customers, floor managers, and the business owner. This is a management position, and will require motivating and encouraging teammates.

Organizational Skills: Ability to manage multiple orders, prioritize tasks, and make decisions.

Attention to Detail: Accuracy in processing orders, inventory management, and timing.

Time Management: Ability to prioritize and meet deadlines for order fulfillment and shipping.

Problem-Solving Skills: Quick thinking and ability to address challenges related to shipping, order issues, or inventory needs.

Team Collaboration: Strong ability to collaborate with team members to ensure efficient workflow and seamless operations. Capable of working well in a team environment, following instructions carefully, and contributing to collective goals.

Continuous improvement: Observe and communicate any improvements identified to the current workflow or process.
