Administrative Assistant/Receptionist
The Country Club at Castle Pines seeks an energetic, quality-driven, and creative professional as our administrative rock star at the Club. The Administrative Assistant/Receptionist will work together with the General Manager, Chief Financial Officer, and management staff to assist us in our administrative needs. Essential Duties
Answer, screen and transfer inbound phone calls
Provides greetings all Members and guests as they enter and leave
Directly support to the COO. May include scheduling and coordinating committee meetings, appointments, board correspondence, travel arrangements and general administrative functions.
Assist in booking dining and event reservations as needed
Prepare and modify documents including correspondence, reports, drafts, memos and emails
Update reservation book daily to reflect BEO reports
Print server tags, table tags and menus, as needed
Prepare and modify Clubhouse documents and emails, as needed
Assists with preparation of meeting agendas and schedules
Assists with preparation of Member payments to prepare for deposit
Keeps employee phone extension document updated
General clerical duties including photocopying
Open, sort and distribute incoming mail correspondence
Maintain office supply inventories
Adds visitors and vendors to Dwelling Live for Village access
Keeps Club voice message system updated to reflect open/close, seasonal and weather-related hours
Maintains employee monthly schedules and records attendance
Helps maintain cleanliness of Club
Supervisory Duties (None)
Education and Experience Requirement
Associates degree or higher preferred, with 2-3 years’ relevant administrative support experience
Excellent written and verbal communication skills, including excellent telephone manner and customer service skills
Must be extremely proficient with Microsoft Office Suite
Experience with AR, AP, Payroll, HR, Benefits, multiline phone systems
Experience with Adobe Creative Suite preferred but not required
An eye for excellence. Accuracy and attention to detail will be foundational to success.
Must be authorized to lawfully work in the U.S.
Knowledge of principles and practices of basic office management
