Supporting a dynamic GREAT BOSS with a very busy life and PA for spouse and children

Great In office hours 9 - 5 but must be available for this 24/7 role and 5 days in

Heavy PA work can change week to week or month to month but requires someone who is ok if it is all personal work for a week or more and flexible when the distribution of EA and PA work changes significantly.

Business

Provide white glove service and personal support to the CEO and senior-level management as needed

Execute strategic calendar management, multi-city travel, accommodations, expenses, agendas, professional client service, and report deal allocation hours

Handle sensitive and highly confidential correspondence, business projects, and all other matters requiring discretion involving the CEO

Serve as primary liaison with senior executive team and board of directors on behalf of the CEO

Manage the global board schedule function and logistics

Work closely with the CFO and the finance department to ensure business reporting and timelines align with scheduling

Work closely with the General Counsel and legal team to ensure project reporting is aligned with compliance regulations

Manage philanthropic relationships and interactions with non-profit organizations and other affiliations

Maintain vendor relationships, negotiating budgets, and managing contracts across the board

Make recommendations and present ideas to streamline and improve daily office functionality and processes

Consistently demonstrate administrative and operational leadership and excellent organizational skills

Handle PA duties such as:

Handle a high volume of personal property management issues, billing and overseeing household and other personal staff

Coordinate personal travel, family vacations, transportation and related logistics

If the family is traveling, need to be on and able to work hours on those weekends, as well as at other times. True 24/7

Work closely with his wife and assist her and the 4 children’s admin needs

All medical-related items, insurance, appointments, billing.

Maintain his personal banking account management

Filter personal emails (weekdays)

Random personal work

Researching, pricing, comparing, and leasing his cars

Comparing insurance policies

Fully responsible for all billing, tutors, medical, household items, gifts, etc

Working closely with the wife keeping her in the loop on all of the executive's future travel and evening plans (away from the

Schedule parent/teacher meetings

Keep spouse aware of CEO's future travel and evening plans when away from the family

Manage two friendly medium-sized dogs – medical and boarding

Work with driver to make sure he’s aware of all planned needs and schedule
