Position Title: Intake Coordinator / Data Entry Operator

Reports To: Administrator / Office Manager

Under general supervision, the Intake Coordinator / Data Entry Operator is responsible for preparing, inputting, verifying, and maintaining confidential data. This role supports efficient information flow, document management, and regulatory compliance within a healthcare environment.Qualifications

High school diploma or GED required.

Minimum of 2 years of related experience in data entry, office coordination, or administrative support.

Proficiency in Microsoft Word and Excel and familiarity with home health software platforms.

Ability to operate standard office equipment.Essential Job Functions

This position requires the ability to perform the following duties with or without reasonable accommodations:

Verify, input, and edit alphanumeric data to ensure accuracy and system compatibility.

Manage incoming documentation and route appropriately to clinical or administrative personnel.

Retrieve and enter information using prescribed software formats.

Maintain and update digital files and logs; process corrections and updates as needed.

Extract data and prepare reports in compliance with organizational policies and data privacy regulations.

Maintain strict confidentiality of patient records and agency information.

Monitor and track clinical and field staff documentation.

Respond to data-related inquiries from internal teams and external partners.

Support data analysis efforts and identify inconsistencies for resolution.

Lead or guide task assignments for other administrative staff, as needed.

Submit RAPS, transmit data, and support billing processes.

Operate as a key resource for specialized data and file management across teams.Skills and Knowledge Requirements

Strong knowledge of data entry protocols and procedures.

Understanding of confidentiality standards and data release regulations.

Excellent verbal and written communication skills.

Critical thinking and problem-solving abilities related to data accuracy and workflow.

Ability to speak and hear clearly to communicate with staff and external contacts.

Visual acuity for reading and reviewing printed and digital documents.
