Associate degree
Minimum 1-2 years of administrative or front desk experience, preferably in a healthcare or mental health setting.
Proficiency in Microsoft Office and experience with electronic medical records.
Excellent communication and interpersonal skills.
Strong organizational skills and attention to detail.
Ability to manage sensitive information with professionalism and confidentiality.
Job Summary:
The Intake Administrative Assistant plays a key role in supporting the administrative and intake functions of Best Point. This position is responsible for greeting and assisting clients, managing intake documentation, supporting insurance verification and authorization processes, and maintaining data accuracy within the electronic medical record (EMR) system. The role requires a strong customer service orientation, attention to detail, and collaboration with internal and external partners to ensure the delivery of high-quality, client-centered care.
Primary Responsibilities:
Administrative Support
Greet and check in clients for appointments; update client contact information and notify providers of arrivals.
Assist with obtaining initial care authorizations from managed care organizations.
Conduct data entry, scanning, and uploading of documents into the EMR system.
Maintain up-to-date and complete intake and consent documentation.
Enter client outcomes into the database accurately.
Research and respond to internal requests for mental health documentation.
Manage the daily receipt and distribution of interagency mail.
Handle incoming calls and route them appropriately with professionalism and discretion.
Internal and External Collaboration
Assist with verifying client insurance coverage and support families in exploring various payor options.
Liaise with finance, clinical teams, and leadership to ensure accurate and timely service coordination.
Maintain client confidentiality in all communications and data handling per HIPAA and agency policies.
Quality Assurance and Effectiveness
Conduct routine audits of the electronic client record to ensure accuracy and compliance.
Monitor client engagement and support outreach efforts to enhance service connection.
Compensation & Benefits:
$18 - $19/hr
