Overview
We are seeking a Proposal Coordinator for our Business Development Division in our any of our Florida Offices.
The focus of this position is execution. Work directly with proposal managers to produce high-quality proposals and presentations. The key responsibilities for this position are information gathering and maintenance; layout, production, and delivery of proposals and presentations; and data entry and management. This position requires exceptional time-management, attention to detail, planning, organization, layout software, and interpersonal skills. The ability to pivot easily between tasks is crucial for the successful performance of this role.

Collaborate with proposal managers to produce high-quality compliant proposals
Responsible for the layout, production, and delivery of proposals and presentations
Identify and outline requirements of RFPs and create compliance matrix/checklists and calendars
Schedule proposal production planning meetings
Request contract/legal reviews
Schedule quality control reviews
Layout covers and tabs in coordination with proposal manager
Gather information/documents for use in proposal
Prepare and send out drafts for quality control reviews
Responsible for the pursuit closing process
Responsible for keeping opportunities up to date in the database
Responsible for updating resumes and project descriptions in the database
Responsible for following up on results until a pursuit is awarded
Ensure quality of all produced material including consistency, spelling, and grammar
Pro-actively update proposal elements, resumes, project descriptions, project photos, and additional boilerplate material
Maintain organized documents following the filing protocol for proposal archive Qualifications
Strong organizational and time management skills
Strong written and verbal communication skills
Ability to work and collaborate with proposal manager displaying a positive and professional attitude
Eagerness to learn and follow company's proposal management process
Ability to operate under tight deadlines, handling various projects simultaneously, and manage last minute/urgent requests. Must be able to adjust to multiple, concurrent deadlines.:
Bachelor's degree in English, Communications, Journalism, Marketing, or equivalent demonstrated experience
Must have the ability to thrive in a collaborative environment and work well with others
Pre-employment drug screening is a condition of employment
Minimum three years in the A/E/C industry preparing proposals for federal, state, and municipal clients desired

Knowledge, Experience, and Other Requirements:
Associates or Bachelor's degree (in English, Communications, Journalism, Marketing preferred) OR equivalent demonstrated experience
Must have the ability to thrive in a collaborative environment and work well with others
