POSITION DESCRIPTION

Title: Administrative Assistant

Salary Range: Based on Experience

FLSA: Non-Exempt

Hours: Monday – Friday 8:00 – 5:00

Category: Full Time

Reports To: Commercial Loan Administrative Manager

SUMMARY

The position of Administrative Assistant is responsible for assisting the Loan Officers with day to day operations as well as data processing systems and software within the departments. In addition the Administrative Assistant assures compliance with all SVB policies and procedures, as well as, all applicable state and federal banking regulations.

ESSENTIAL DUTIES

Process telephone transfers when customers call in request

Process loan payments and wires

Work with CPA’s to get the year end transactions on the current system

Pull credit reports and flood determination

Order title work for real estate loans and work with title company for closing on real estate transactions

Produce loan documents in nCino and Laser Pro

Collect all documentation for new customer or business

Add new customers to CIF

Do maintenance on accounts or loans (i.e. address change, name change, phone number)

Write up loan authorization and get proper signature from loan officer

Working with other banks to prepare Participated loans, bought and sold

Fill out AFT forms or sweep forms and make copy of the customer. Make out necessary tickets (interest due, GL fees, etc.) and upload loan (s) and add to netteller

Fill out sweep forms and AFT/ACH forms

Add financial and tax returns to Web Equity and scan to the correct file

Scan loan docs into Synergy

Process stop payment request

Chexsystems

Sweep agreements

Notary Public

Send documents through Doc u Sign for signatures

SECONDARY DUTIES

The position of Administrative Assistant performs duties specific to the position and other functions as assigned.

SUPERVISORY RESPONSIBILITY

The position of Administrative Assistant is not responsible for the supervision of any employee(s).

ENVIRONMENT AND PHYSICAL ACTIVITY

The environment for this position is an open office that is mostly clean and comfortable. It may include some minor annoyances such as noise, odors, drafts, etc. The incumbent is in a non-confined office-type setting in which he or she is free to move about at will.

The incumbent in the course of performing this position spends time writing, typing, speaking, listening, lifting (up to 30 pounds), carrying, seeing (such as close, color and peripheral vision, depth perception and adjusted focus), sitting, pulling, walking, standing, squatting, kneeling and reaching.

MENTAL DEMANDS

The incumbent in this position must be able to accommodate to reading documents or instruments, detailed work, problem solving, customer contact, reasoning, math, language, presentations, verbal and written communication, analytical reasoning, stress, multiple concurrent tasks and constant interruptions.

Requirements

MINIMUM REQUIREMENTS

Associates degree or two years of related experience and/or training; or the equivalent combination of education and experience. Work related experience should consist of a financial institution operations, sales or customer service background. Educational experience, through in-house training sessions, formal school or financial industry related curriculum, should be business or financial industry related.

Provide exemplary customer service

Advanced knowledge of general office practices.

Advanced math skills

Effective oral, written and interpersonal communication skills with the ability to apply common sense to carry out instructions, interpret documents, understand procedures, write reports and correspondence, and speak clearly to customers and employees.

Ability to deal with difficult problems involving multiple facets and variables in non-standardized situations.

Effective organizational and time management skills.

Ability to work with general supervision while performing duties.

Current driver’s license and a vehicle with appropriate insurance coverage if required to drive in the course of performing assigned duties and responsibilities.

The incumbent must be able to perform this position safely, without endangering the health or safety to him/herself or others.

Salary Range $46,000.00 - $60,000.00
