Receptionist – Client Experience & Administrative Support

Job Summary:

We’re looking for a professional and personable Receptionist to serve as the first point of contact for clients, guests, and employees. In this dynamic role, you’ll create a warm and lasting first impression while ensuring the front desk runs smoothly. You'll manage a range of responsibilities including greeting visitors, handling calls, and supporting key administrative and facility operations. This is an exciting opportunity to be a vital part of a collaborative team, directly contributing to a professional, high-touch client experience. This role reports to the Client Relations Manager.

Key Responsibilities:

Front Desk Management (15%)

Greet guests and visitors with professionalism and warmth.

Manage incoming calls with efficiency, transferring or taking messages as needed.

Provide timely responses to inquiries and direct individuals to the right contacts.

Client Relations (15%)

Ensure every client and guest experience is welcoming and seamless.

Respond to special requests with professionalism and poise.

Proactively resolve client concerns and provide courteous support.

Communication Hub (20%)

Serve as the central point of contact for internal and external communications.

Relay accurate messages via phone, email, or in-person delivery.

Track and manage visitor appointments and staff schedules.

Administrative Support (10%)

Receive and distribute incoming mail, packages, and deliveries.

Maintain organized office files and records.

Monitor office supply levels and coordinate restocking as needed.

Facility Coordination (10%)

Help schedule and coordinate meetings, events, and conference logistics.

Assist with room bookings and setup to ensure smooth execution.

Security & Safety (5%)

Monitor visitor access and follow security protocols.

Respond appropriately in emergencies and participate in safety training.

Training & Development (5%)

Engage in ongoing training programs—including via Cornerstone—to build your skills and knowledge as a valued team member.

What We’re Looking For:

Education & Experience

High school diploma or equivalent required; college degree preferred.

3–5 years of reception or front desk experience, preferably in a legal or professional services environment.

Skills & Qualifications

Strong Microsoft Office proficiency.

Confident in understanding and responding to client needs.

Able to maintain discretion and confidentiality at all times.

Polished, professional demeanor with excellent interpersonal skills.

A positive team player who builds trust and strong internal relationships.

Strong verbal and written communication abilities.

Comfortable navigating shifting priorities in a fast-paced setting.
