Job Description
POSITION SUMMARY:
The Protective Services Case Aide works under the supervision of the Protective Services Trainer/Supervisor. He/she will support the daily administrative tasks and assist PSWs as requested. Must be able to work in an environment that handles highly confidential matters. Although this position encompasses a high administrative component, he/she will be exposed to tasks assigned to PSWs. This role has been designed to provide him/her with the training required to transition to a Protective Services Worker.
Responsibilities:
Assist with printing and faxing highly confidential information.
Forward PS documents received to the correct PS staff member
Assist with scanning letters into the Adult Protective Services System
Research information in the SAMS System
Under the supervisor's direction, assists with making referrals for clients.
Assists with making follow-up calls to clients and collaterals as instructed.
When requested, follow up on calls forwarded to PS voicemail.
Assist with the collecting of monthly legal and language interpreter records for Fiscal billing/payment if authorized
Help update incoming Intake Reports and complete data entry notes/attach intake data to ensure compliance if authorized.
Create and send mailings to consumers and other agencies as directed by PDS and Assist PSD as instructed if authorized
Will assist in preparing and coordinating materials and space for program-related training and meetings.
Participate in training activities as required
Attend PSW group meetings, including Ground Rounds
May be asked to accompany PSWs on home visits
Support staff with a review of care plans and ongoing client services.
Protects consumers’ Personal Health Information (PHI) and reports any suspected security breaches by HIPAA regulations
Performs all services by State and Federal regulations and CBES policies and procedures
Other duties as assigned.
Qualifications and Characteristics
Strong written, interpersonal, and presentation skills that convey a positive attitude and build relationships with clients and coworkers in an urban, multi-ethnic, and racially diverse environment.
Must be organized and detail-oriented, possess strong time management and priority-setting skills, with the ability to handle diverse responsibilities and work independently with minimal supervision.
Must be capable of working with high independence, using sound judgment to anticipate and resolve issues as they arise.
Strong computer knowledge, proficient with Microsoft Word, Excel, and PowerPoint, and proficient in typing; preferred knowledge or an ability to develop a solid working knowledge of a client database management system.
Ability to work in a fast-paced and changing environment.
A natural disposition to be flexible and collaborate unselfishly in a team-oriented organization.
Educational Requirements and Work Experience
Bachelor’s Degree with previous experience working with a diverse population.
Prior experience working within a nonprofit organization is desirable.
Physical Requirements of the Job
General office environment.
May have to lift to 10-15lbs.
Work requires regularly standing, stooping, and bending.
