Summary Description
The Pine School Business Office Controller will have an integral role as part of the Business Office. This position will lead the school choice scholarship programs and financial aid programs as well as assisting in the preparation of financial reports, leading the organizational audits, and assisting with month end close procedures. The Controller reports directly to the Director of Finance & Operations and will have a working relationship with all areas of the School community. The Controller will conduct him/herself in a professional manner, demonstrating discretion and maintaining strict confidentiality. He/she will exemplify a positive attitude towards all responsibilities connected to this position.
Essential Duties and Responsibilities
Administrative Support
Provide general administrative support to the Director of Finance and Operations and the Business Office
Assist with the preparation of documents, reports, presentations, and other materials
Assist the Director of Finance and Operations in operating The Pine School’s business office using Blackbaud Accounting Software which handles fund account procedures following the guidelines of our auditor
Handle incoming inquiries and correspondence related to the business office and school choice scholarship program
Accounting
Edit enrollment contracts each year for tuition changes and other board-approved changes. Generate, from the enrollment contracts, the student bills when due as per the tuition plan selected until paid.
Oversee the monthly accounts receivable/aging listing for collection control.
Oversee the follow up on all delinquent accounts per direction from the Director.
Oversee that cash receipts are posted to the correct income account.
Lead on the audit and 990 completion in conjunction with the Director.
Scholarship Program
Acts as a liaison between PINE, school choice office, scholarship funding organizations, parents, and others to ensure streamlined communication of accurate scholarship information/PINE information
Coordinate and maintain the standard operating policies and procedures for the student scholarship program at PINE.
Prepares invoicing for PINE scholarship program, and ensures timely payment from scholarship funding organization and parents
Oversee the School’s compliance and coordination with the Florida State Scholarship programs.
Keep abreast of school choice options for Florida students and inform the Director of Finance and Operations of changes with the program
Financial Aid Management
Oversee annual family applications for financial aid and follow up to ensure that documentation is complete
Process financial aid awards and reconcile
Customer Service
Work proactively with internal and external organizations to address customer needs and to escalate concerns as needed.
Assists the Business Office with coverage and stocking the School Store and Snack
Assist the Business Office by providing cross coverage
Assist with postage & the delivery of the mail
Any other duties needed to help drive our vision, fulfill our mission, and abide by our organization’s values
Qualification Requirements
Bachelor’s Degree in a financial or equivalent combination of education and relevant experience required.
Experience in Florida Scholarship programs and K-12 education administration, preferred.
Experience in researching, problem solving and data entry.
Technologically savvy and detail oriented. Experience with Blackbaud Accounting software is a plus.
Able to work collegially and collaboratively with a team. Proactive, positive attitude required with an emphasis on customer service.
Flexible and organized in a fast paced, frequently changing environment.
Professional and confidential work ethic, dependable and strong attendance.
Great communication skills & follow-up a must.
PHYSICAL REQUIREMENTS
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
