Job Description:
We seek a friendly, organized, and customer-focused individual to join our team as a Receptionist. As the first point of contact for clients, visitors, and callers, you will be responsible for creating a positive and welcoming environment while efficiently managing administrative receptionist tasks.
Key Responsibilities:
Greet clients and visitors warmly and professionally, assisting them and directing them to the appropriate person or department.
Answer and manage incoming calls, take messages, and forward calls as necessary.
Assist the leasing department with scheduling appointments, meetings, and property viewings for clients and real estate agents.
Maintain cleanliness and organization of the reception area and conference rooms.
Manage incoming and outgoing mail and packages.
Assist with administrative tasks such as data entry, filing, and scanning documents.
Coordinate with real estate agents and staff to ensure seamless communication and workflow.
Provide administrative support to the Mackie team in the AppFolio Portal.
Manage office supplies inventory and place orders when necessary.
Uphold confidentiality and professionalism in all interactions and tasks.
Qualifications:
A high school diploma or equivalent is required; additional education or certification in office administration or a related field is a plus.
Previous experience as a receptionist or in a customer service environment.
Excellent communication and interpersonal skills, with the ability to interact professionally with clients, colleagues, and vendors.
Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively.
Proficiency in Google Applications (Sheets, Drive, Gmail) and experience with office equipment such as multi-line phone systems and printers.
Positive attitude, reliability, and a willingness to learn and adapt in a fast-paced environment.
Knowledge of real estate terminology and processes is desirable but not required.
