Job Title: Executive Administrator / Staff Supervisor

DURATION: This is a 2 YEAR Contract (W-2 ONLY)
PAY: $37-40/hr
Position Summary:
The New York State Department of Health is seeking to fill Executive/Administrative Assistant positions within the Criminal History and Records Check Bureau (CHRC). These roles will function as staff supervisors overseeing CHRC program activities at the Albany Regional Office.
General Duties:
The CHRC assists various provider entities across New York State in completing mandated Criminal History Record Checks.
Supervisory Responsibilities:
Coordinate timesheets for all temporary staff within CHRC Intake
Manage CHRC Intake Unit time-off requests
Oversee the CHRC Mail Inbox
Monitor employee attendance
Communicate with vendors as needed
Manage employee overtime and accomplishments
Coordinate onboarding of new hires
Oversee staff training
Serve as liaison for Intake Redmine to IT
Correspond with external program areas
Process inquiries from Legal regarding provider submissions and conduct follow-up
Supervise preparation of End-of-Day Reports
Administrative Responsibilities:
Answer incoming phone calls from internal and external customers
Process incoming faxes, emails, and external mail
Perform data entry and data analysis
Complete special assignments and routine administrative tasks as directed
Provide comprehensive administrative support
Perform related duties as required
Minimum Qualifications:
High school diploma or equivalent
Preferred Qualifications:
Experience in a fast-paced environment with multitasking capabilities
Proficiency in complex databases
Strong communication skills with consumers, providers, and leadership
Highly organized and detail-oriented
Ability to work independently and collaboratively
Proficiency in Microsoft Access, Word, Excel, Outlook, and SharePoint
