We are looking for a detail-oriented and organized Receptionist to join our team on a contract basis in Santa Barbara, California. In this role, you will be the first point of contact for clients and visitors, ensuring smooth day-to-day operations and providing excellent customer service. Responsibilities:

• Greet visitors and clients in a friendly and detail-oriented manner, ensuring a welcoming atmosphere.

• Manage a multi-line phone system by answering calls promptly and directing them to the appropriate departments.

• Organize and maintain files, ensuring accurate and efficient storage of important documents.

• Handle email correspondence, responding to inquiries in a timely and detail-oriented manner.

• Schedule appointments and coordinate meeting arrangements for staff and clients.

• Perform data entry tasks, maintaining accurate records and databases.

• Utilize Microsoft Word, Excel, and Outlook to complete administrative tasks and support daily operations.

• Assist in general office organization, ensuring the workspace is tidy and functional.

• Collaborate with team members to address customer needs and resolve any issues.

• Provide exceptional customer service by addressing questions and concerns with professionalism.

• Proven experience in a receptionist or similar administrative role.

• Proficiency in handling multi-line phone systems and managing high call volumes.

• Strong customer service skills with a focus on creating positive client interactions.

• Ability to perform accurate data entry and maintain organized records.

• Skilled in email correspondence and precise communication.

• Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.

• Excellent interpersonal skills and ability to work collaboratively with diverse teams.

• Strong organizational abilities, including file management and scheduling.

• Bilingual in English and Spanish is a strong plus!
