Job Description
The Account Coordinator plays a supporting role in client project management, scheduling, and administrative operations. This position ensures that day-to-day activities run efficiently and that our account team can stay focused on delivering exceptional service and driving core business KPIs.
Key Responsibilities:
Answer incoming phone calls and route messages promptly to the appropriate team members
Greet and assist visitors, clients, and delivery personnel at the front door
Manage orders for vended products and office supplies, including tracking inventory and coordinating vendor deliveries
Schedule installation and delivery appointments, communicating directly with clients, internal production, and external vendors to confirm timelines
Maintain and update installation, delivery, and project calendars
Follow up with clients to confirm proof approvals, installation readiness
Assist with internal meeting scheduling for production handoffs and project milestones
Track permit and inspection appointments (if applicable to projects)
Skills & Qualifications:
1-3 years of administrative, scheduling, or customer service experience preferred
Strong organizational and time management skills
Excellent written and verbal communication skills
Ability to manage multiple priorities and thrive in a fast-paced environment
Proficiency in Microsoft Office
Positive, team-oriented attitude with a knack for problem-solving
